Job Description

Sales Operations Coordinator (Promotional Products) Promofect, LLC Mahwah, NJ 07430 Promofect is a creative merch company offering screen printing, embroidery, and custom online store programs. We’re growing quickly and looking for a Sales Operations Coordinator who can help bring structure to our sales and order flow, improve reporting, and own automations that make the whole team more efficient. This role is ideal for someone who thrives on process, loves systems, and wants to grow into a key operations role. You’ll sit at the intersection of sales, production, and marketing, and you’ll play a big part in helping our team scale. About the Role Support the sales team with quoting, CRM tracking, and client follow-up

  • Monitor and report on sales performance and activity using HubSpot
  • Ensure seamless handoffs between sales and production
  • Coordinate weekly follow-ups, status updates, and order reminders
  • Build and maintain internal process documents and resource materials
  • Own automations and integrations between systems like Printavo, InkSoft, HubSpot, Gmail, and Slack
  • Collaborate with our outsourced CTO to build and launch internal tools and workflows
  • Troubleshoot and maintain existing automations and help streamline our store and e-commerce processes What You’ll Do Be the first point of contact for customers who stop by, call in, or email — capturing key info and making sure they’re taken care of Keep things organized at the front of the office and coordinate light office operations (think: supplies, tidiness, mail, etc.

) Liaise between our in-house sales team and support staff overseas — helping align systems and processes Assist the owner in managing daily priorities and operations Occasionally post content or help generate ideas for social media (capturing a cool print job, team moment, or new product) Help document and improve internal processes over time

What We’re Looking For:
  • Strong communication and organizational skills
  • Familiarity with CRMs and project management tools
  • Analytical mindset with attention to detail
  • Proactive problem-solver and systems thinker
  • Experience with automation platforms (Zapier, Make, or similar) a plus

Bonus:

Experience in screen printing, embroidery, or promotional products is a big plus More Specifics. 2-5 years of customer service, sales support, or office coordination experience Strong communicator — in person, by phone, and by email Tech-comfortable — you don’t need to code, but you can learn tools like HubSpot, Excel, Google Docs, etc. Creative eye for things like social media, or at least the willingness to jump in and try Organized, presentable, proactive, and detail-oriented Someone who’s excited to be part of a growing company — not just punching in and out Work Style & Culture General hours are 9 AM to 5 PM, but we’re flexible — need to come in late or step out? Just communicate. That said, there are times where staying a little later might be needed to make sure nothing bottlenecks. No set vacation policy — just plan ahead, communicate with the team, and make sure responsibilities are covered. Pay & Schedule Salary range: $55,000
