Position Summary The Sales Coordinator plays a vital role in supporting daily sales operations and ensuring compliance with all regulatory and logistical processes. This role bridges the gap between sales, inventory, compliance, and accounting, facilitating smooth wholesale transactions from order creation through fulfillment and payment. The ideal candidate is detail-oriented, tech-savvy, and comfortable working in both regulated digital platforms like METRC, Apex Trading, Hubspot, Quickbooks, Outlaw, Excel/Sheets and physical inventory environments. Key ResponsibilitiesSales Coordination & Order Fulfillment Coordinate and confirm wholesale orders with retail partners, brand teams, and delivery logistics. Maintain up-to-date order tracking systems and provide regular updates to internal stakeholders. Ensure timely order picking, packing, labeling, and readiness for transport. METRC Manifest Creation Create and manage compliant METRC transfer manifests for all outbound and inbound cannabis product shipments. Validate product information, batch numbers, and quantities to ensure full accuracy and regulatory compliance. Track transfer statuses, resolve manifest errors, and maintain audit-ready documentation. Inventory Management Oversee both cannabis and non-cannabis inventory across all storage locations (physical and virtual). Conduct regular inventory counts, reconcile discrepancies, and ensure data consistency across METRC and inventory platforms (e.g., Outlaw, Google Sheets, or other ERP tools). Organize and label non-cannabis inventory such as marketing collateral, packaging supplies, and sales kits. Invoicing & Accounts Receivable Generate accurate invoices in Apex Trading alignment with confirmed sales and METRC data. Send invoices to retail accounts and track receivables through internal systems including Quickbooks. Follow up on outstanding balances, resolve discrepancies, and assist in implementing streamlined AR processes. Administrative & Operational Support Maintain organized sales records, manifests, invoices, and other compliance documents. Complete weekly reporting for partner brands Support internal reporting on inventory turnover, product performance, and sales pipeline. Coordinate with marketing and operations teams to ensure sales kits and non-cannabis materials are stocked and delivered. Required Skills & Qualifications 1-3 years of experience in cannabis operations, logistics, inventory, sales coordination, or administrative support. Working knowledge of METRC and Massachusetts cannabis compliance strongly preferred. High attention to detail and accuracy in data entry and record-keeping. Strong organizational and time management skills; ability to multitask and meet deadlines. Experience with tools such as Google Workspace , QuickBooks , Apex Trading , HubSpot , Outlaw inventory management software. Excellent written and verbal communication skills. Comfortable working in a vault and handling cannabis product inventory. Preferred Qualifications Experience in a cannabis wholesale/distribution setting. Familiarity with Massachusetts CCC regulations (935 CMR 500 & 501). Understanding of basic accounting principles and invoicing software. Bilingual English/Spanish a plus.
