We are currently seeking a detail-oriented and compassionate Sales & Move-In Coordinator to join our team and help prospective residents transition seamlessly into their new home. The Sales & Move-In Coordinator supports the sales team by facilitating all aspects of the move-in process and ensuring a positive experience for incoming residents and their families. This role serves as a key liaison between sales, operations, and residents, providing administrative, logistical, and emotional support throughout the pre- and post-move journey. This position is on-site and requires employees to work in our office located in Peterborough, NH.
Key Responsibilities:
Support Sales Counselors by coordinating and tracking all move-in processes from deposit to occupancy. Maintain accurate records and databases, including CRM updates, occupancy reports, and move-in schedules, to ensure the timely and accurate dissemination of information. Serve as the primary point of contact for new residents and families during the transition process. Coordinate apartment readiness with facilities, housekeeping, and other departments. Schedule assessments, tours, and welcome meetings in collaboration with nursing and wellness teams. Facilitate communication across departments to ensure smooth handoffs and an exceptional resident experience. Prepare move-in packets, contracts, and other required documentation. Assist in planning and executing welcome events and orientation programs for new residents. Provide administrative support to the Sales & Marketing Department as needed.
Qualifications:
High school diploma or equivalent required; associate or bachelor’s degree preferred. Minimum 2 years of experience in senior living, hospitality, real estate, or customer service preferred. Excellent communication and interpersonal skills, with a warm and empathetic approach. Strong organizational and time management skills with attention to detail. Proficiency in Microsoft Office and CRM software (e.g., Sherpa, Enquire, Salesforce). Ability to manage multiple tasks and work collaboratively across departments. Knowledge of senior living or healthcare terminology is a plus.
