OVERVIEW
The Counseling Department Secretary provides essential administrative and clerical support to the high school counseling department. This position is responsible for maintaining accurate student records, supporting counselors and administrators, and serving as a key point of contact for students, families, staff, and the community.
MINIMUM QUALIFICATIONS
: High school diploma or GED required. Associate's or Bachelor's degree preferred Proficiency in Microsoft Office and Excel High level of professionalism and confidentiality Demonstrated commitment to collaboration and positive working relationships Strong verbal and written communication skills Exemplary organizational skills Minimum of five (5) years of experience as an administrative assistant or secretary preferred Experience with Parchment (student transcript program) preferred
JOB DUTIES & RESPONSIBLITIES INCLUDE
Maintain, file, and update confidential student records, including student photographs, test results, medical documentation, correspondence, and other required records, in compliance with district, state, and federal regulations. Process student files entering and exiting the district, including records transfers and withdrawals Receive and process student records from middle schools Prepare and process student files for transition to high school at the end of the school year Process grade and citizenship changes as directed Process and send transcripts for graduates Comply with MICR and all applicable student records and reporting regulations Effectively utilize the MiStar Student Information System and other district technology systems for data entry, scheduling, record management, and reporting Input course requests and support scheduling processes as assigned Issue student work permits and record student injury reports Record and report communicable diseases in accordance with district and health department guidelines Provide professional in-person and telephone support by answering inquiries, assisting visitors, and directing calls appropriately Communicate clearly, courteously, and professionally with administrators, counselors, teachers, parents/guardians, and students Support counselors and administrators with correspondence, data requests, and other administrative tasks Maintain office equipment, including copy machines and shredders, and report service needs when necessary Assist and support the main office as needed Demonstrate strong typing, data entry, and organizational skills with a high level of accuracy and attention to detail Maintain confidentiality and exercise discretion when handling sensitive student and family information. Work collaboratively as part of a team while also demonstrating the ability to work independently and manage multiple priorities Perform other duties as assigned

Livonia Public Schools employs approximately 1,900 staff members, serving approximately 13,100 students pre-K

There are 15 elementary schools, 3 middle schools, 3 high schools, 1 career technical center, 1 early childhood center, and 1 vocational and transition center in the school district. The annual budget for Livonia Public Schools is $185 million, with a state funding of $10,000 per pupil.

CONDITIONS OF EMPLOYMENT
The ability and desire to accept responsibility are essential for this position. Due to the nature of the work, a cooperative and professional working relationship with all office staff is required. Specific details of the position will be discussed with the administrator during the interview and at the time of hire. This position is classified as a Level II secretarial position, scheduled for eight (8) hours per day, forty (40) hours per week, for a fifty-two (52) week work year. Salary and benefits shall be in accordance with the terms and conditions of the Agreement between Livonia Public Schools and the Livonia Secretarial Association (MEA).
