Position Overview We are seeking a dependable, organized, and warm-hearted Administrative Assistant to be the welcoming face of our clinic. This is a full-time, in-person position located in Peachtree City, GA. Our clinic's scheduling needs fluctuate based on patient and therapist demand, so we are looking for someone who is flexible and adaptable with their availability. The ideal candidate thrives in a fast-paced, child-friendly environment and is passionate about supporting families and a dedicated clinical team. Responsibilities Answer phones and warmly greet children and families at the front desk Schedule and manage appointments using Ocean Friends EMR Assist with insurance verification and authorization processes Process client intake paperwork and insurance documentation Communicate professionally with patients and families regarding scheduling, billing, and clinic policies Monitor and update client records in Ocean Friends EMR, ensuring accuracy and HIPAA compliance Support therapists with administrative tasks as needed Assist with onboarding new clients and explaining clinic policies and procedures Maintain organized digital and physical filing systems Coordinate office supplies and clinic inventory Maintain cleanliness and organization of the front office and common areas Handle incoming and outgoing mail and packages Help coordinate internal meetings, staff communications, and events Qualifications Must be comfortable working in a pediatric environment and enjoy interacting with children and families Flexible availability to accommodate fluctuating clinic scheduling needs Previous administrative or front office experience in a healthcare or therapy setting is preferred Strong organizational and multitasking skills Excellent verbal and written communication skills Proficiency with scheduling software, EMR systems, and Microsoft Office Suite; experience with Ocean Friends EMR is a plus Ability to maintain confidentiality and handle sensitive information in compliance with HIPAA Friendly, professional demeanor with strong customer service skills High school diploma or equivalent required; associate's degree or higher preferred Why Join Our Team?
