•Job Summary We are seeking a dynamic and highly organized Part-Time Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth Perform data entry and maintain accurate records using computer skills in Microsoft Office, Google Workspace, and QuickBooks Organize files, process paperwork, and ensure proper filing systems are maintained for easy retrieval of documents Provide customer support by addressing inquiries promptly and professionally both in person and via phone or email Assist with calendar management and scheduling appointments for staff or executives Support office management tasks such as ordering supplies, managing office equipment, and coordinating maintenance needs Proofread documents for accuracy and clarity before distribution or filing Handle bookkeeping tasks including basic bookkeeping entries and reconciling accounts as needed Support personal assistant duties such as preparing reports Qualifications Proven office experience with strong clerical skills and familiarity with office management procedures Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Experience with QuickBooks or similar accounting software is a plus Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong typing speed and computer literacy to handle data entry efficiently Exceptional customer service skills combined with professional phone etiquette Bilingual abilities are highly desirable to assist diverse clients and team members Previous experience as an administrative assistant or office clerk preferred Personal assistant experience or calendar management expertise is preferred Knowledge of office equipment operation including multi-line phones, printers, and fax machines Join us in creating a positive impact through efficient office operations!
