Job Description
We are looking for an Administrative Assistant to assist and provide a range of support and administration to the Firm's legal professionals.
About the firm:
For over 30 years, our firm has specialized in serving as corporate and litigation counsel to homeowners associations (HOAs), community associations and condominium developments throughout California. Our extensive and varied client portfolio includes master-planned developments of thousands of homes, downtown high-rises, mixed use and commercial developments, and common interest communities of all sizes and characteristics. HOAs are everywhere and are growing in number, size and sophistication. The demand for HOA-related professional services, including legal, is increasing exponentially and will continue to do so as housing shifts toward planned developments and condominiums. Answer and route incoming calls promptly and professionally. Greet and assist visitors, clients, and staff in the reception area. Monitor and maintain office supplies; restocking and ordering items as needed. Monitor and maintain the kitchen area; restocking and ordering supplies as needed Monthly Inventory of Hardware. Log, sort, distribute, and prepare incoming and outgoing mail and packages. Coordinate conference room scheduling, setup, and basic maintenance. Set up the patio daily, ensuring furniture, umbrellas, and common areas are clean and ready for use. Support the Director of Engagement with the set-up and breakdown of in-office events. Maintain a clean, organized, and welcoming reception area. Manage the addition of new clients to printer, copier and postage machines. Schedule FedEx pickups and manage shipping requests. Clean and organize the kitchen refrigerator weekly (every Friday).Desired Skills and Experience:
Minimum 1-2 years of reception and administrative work in a professional environment. Ability to work independently and is able to take direction well. Exceptional attention to detail, highly organized and strong follow up skills. Ability to effectively prioritize work flow, multi-task and work under pressure. Strong interpersonal and relationship-building skills; able to work effectively and collaboratively in a team environment. Ability to maintain the integrity of confidential information. Strong computer skills including extensive knowledge of Microsoft Office Excellent grammar, spelling, and punctuation.Benefits:
