Job Description

Job Overview We are seeking a highly organized Administrative Assistant to join our team! This is a vital role in our office operations, ensuring smooth daily functions and providing exceptional support. You will be working in a dual role to include but not limited to Human Resources and Scale House responsibilities. Hours- Monday-Thursday 8am-5pm, Friday-6am-3:30pm. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Support calendar management by scheduling appointments, meetings, and conference calls while coordinating with team members Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative functions Provide customer support through clear communication, problem-solving, and timely follow-up to client inquiries Proofread documents for accuracy and clarity before distribution to ensure professional presentation Utilize Microsoft Office Suite and Google Workspace tools to create reports, presentations, and correspondence Handle clerical tasks including photocopying, scanning, mailing, and organizing files efficiently Operation of the scales for in-coming and out-going trucks. Making sure quality of wood meets specifications. Keeping all spreadsheets for scales up to date. Prepare outside logger tickets for entry. Scaler must be able to work extended hours as needed. Scaler is required to stay until all trucks have left the yard and the files have been exported/imported. Experience Proven experience as an Administrative Assistant or in a similar clerical or office support role Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets) Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Bilingual abilities are highly desirable to serve diverse client needs effectively Exceptional customer service skills with a professional demeanor and strong phone etiquette Capable of handling data entry accurately while maintaining attention to detail Personal assistant experience or calendar management skills are a plus for supporting executive needs
