Job Description
Job Summary We are a General Contractor seeking a highly organized and detail-oriented Administrative Assistant to support our daily office operations. The ideal candidate will have strong computer skills, experience in a construction office environment, excellent communication abilities, and the capacity to manage multiple tasks efficiently. This role includes providing administrative support, assisting with project documentation, tracking work orders, coordinating communications, and delivering exceptional customer service. Proficiency in Microsoft Office and Adobe software is preferred. This is an excellent opportunity to contribute to a professional, fast-paced environment where strong organizational skills and attention to detail are valued. Responsibilities Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Perform data entry, filing, and document proofreading to ensure accuracy and organization Job book assembly Project Closeout documents Opening mail and outgoing mail Provide pre-lien info to vendors Print invoices from outlook and code for A/P Follow up

- current / archive / paid AP invoices (weekly) Weekly Meeting Minutes for staff meeting Provide customer support via phone, email, and in person, ensuring excellent phone etiquette and customer service standards Support office management tasks such as ordering supplies, maintaining office equipment, and organizing files Maintain confidentiality of sensitive information while managing various clerical responsibilities New Project files•upkeep Assisting office personnel as needed Skills Experience working for a construction company, Admin office duties Proficiency in Microsoft Office Suite (Word, Excel, Outlook and Adobe software Strong computer skills with the ability to learn new software quickly Excellent organizational skills with the ability to prioritize tasks effectively Experience with data entry, filing systems, proofreading, and document management Exceptional customer service skills with professional phone etiquette and support experience Strong time management skills to handle multiple responsibilities efficiently Strong attendance record is required Ability to work independently
