Job Description
Overview We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role offers the opportunity to support various office functions, manage administrative tasks, and provide exceptional customer service. The ideal candidate will have strong computer skills, office management experience, and proficiency with tools such as Microsoft Office, QuickBooks, and Google Workspace. Bilingual abilities are a plus, along with prior clerical or medical receptionist experience. This position is essential in maintaining efficient office operations and ensuring smooth communication across departments. Duties Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professional phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization Schedule appointments and calendar management for staff and executives Support bookkeeping tasks using QuickBooks and assist with basic office management duties Provide customer support via phone, email, or in person, ensuring high-quality service Assist with office supply inventory and procurement processes Maintain organized records and ensure confidentiality of sensitive information Support personal assistant tasks as needed, including travel arrangements and correspondence Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to prepare reports and presentations Collaborate with team members to streamline office procedures and improve workflow efficiency Qualifications Proven experience in an office environment or administrative role; prior medical or dental receptionist experience is a plus Strong computer literacy with proficiency in Microsoft Office, Google Workspace, QuickBooks, and data entry skills Excellent organizational skills with the ability to manage multiple tasks efficiently Bilingual abilities are preferred to assist diverse client needs Exceptional communication skills, including phone etiquette and customer service expertise Ability to handle clerical tasks such as proofreading, filing, and calendar management accurately Demonstrated time management skills with the ability to prioritize effectively Experience in office management or personal assistant roles is advantageous High school diploma or equivalent required; additional certifications in administrative support are beneficial
