Job Description

Position Summary The Administrative Assistant supports the day-to-day operations of our team by managing calendars, coordinating meetings, handling incoming communications, and keeping files, reports, and shared systems organized and up to date. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment. Key ResponsibilitiesAdministrative Support Perform general clerical duties including filing, data entry, and document management Manage calendars, schedule meetings, and coordinate appointments Answer and direct phone calls, emails, and other communications Prepare reports, presentations, and correspondence Office Coordination Maintain office supplies and place orders as needed Assist in organizing meetings, events, and team activities Ensure common areas are organized and presentable Support onboarding logistics for new employees Communication & Organization Serve as a point of contact for internal and external inquiries Maintain accurate records and filing systems Assist with document preparation, proofreading, and editing Coordinate information flow between departments Operational Support Process invoices, expense reports, and basic financial documentation Assist with project tracking and administrative workflows Support process improvements to enhance efficiency Perform additional administrative duties as assigned QualificationsEducation & Experience High school diploma required; associate or bachelor's degree preferred 1-3+ years of administrative or clerical experience Skills & Competencies Strong organizational and multitasking abilities Excellent verbal and written communication skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Attention to detail and accuracy Ability to prioritize tasks and meet deadlines Basic knowledge of office equipment and administrative systems Core Attributes Dependable and professional demeanor Strong customer service orientation Adaptable and flexible in a changing environment Proactive problem-solver Team player with a positive attitude Work Environment Typically office-based or hybrid environment Standard business hours Regular interaction with team members, clients, and leadership Career Path This role can lead to positions such as Senior Administrative Assistant, Executive Assistant, Office Manager, or other operations and support roles.
