Job Description

An Administrative Assistant in a collision center plays a crucial role in daily operations, acting as the primary point of contact for customers, insurance adjusters, and vendors. They are responsible for managing the front office, coordinating repair schedules, and handling documentation to ensure a smooth, efficient workflow. This position is very valuable to our company because this role is a blend of a receptionist, cashier, and office manager, essential for the efficient, day-to-day operation of a repair shop.
Key Responsibilities Customer Service & Communication:
This position requires strong customer services skills. Greeting customers, answering phones, providing updates on repair status, and guiding them through the repair process.
Administrative & Clerical Duties:
Maintaining customer files, repair orders, and digital documentation. This includes data entry, filing, typing correspondence, and scanning documents.
Insurance & Billing Support:
Following up on insurance claims, processing payments (cash, credit, insurance checks), and support the management to prepare invoices.
Workflow Coordination:
Assisting management with tracking work-in-progress, coordinating with the parts manager and technicians.
Office Operations:
Managing the cash drawer, handling mail, and maintaining a clean, organized and professional office environment.
Required Skills and Qualifications Organization:
Strong organizational skills to manage multiple tasks and files.
Communication:
Excellent interpersonal skills to interact with customers, staff, and insurance representatives.
Technical Proficiency:
Familiarity with office software (e.g., MS Office) and ability to learn body shop management software. (CCC One) preferred.
Industry Knowledge:
Previous experience in a collision center, service advisor role, or automotive office setting is highly preferred. Fluent in
