Job Description

The Lavaca CSCD is part of a tri-county Judicial District known as the 2nd 25th Judicial District which encompasses Gonzales, Colorado and Lavaca Counties. This position is responsible for providing administrative support to the Adult and Juvenile department.
Essential Job Functions GENERAL:
  • Complies with all Department Policies and Procedures;
  • Performs other related duties as required by the Director, Deputy Director, and/or Supervisor or Assistant Supervisor;
  • Assist the probation officers as needed;
  • Assist with the preparation for JPO/CSO Recognition Week.
FLSA - Non-Exempt
CLERICAL
  • Creates new adult and juvenile case files;
  • Enters computer data for juvenile (JCMS) and adult (CSS) new cases and updates information in a timely manner;
  • Prepares legal documents, correspondence and reports accurately;
  • Proofs typing prior to distributing;
  • Makes copies, files materials and correspondence;
  • Maintains incoming and outgoing log of case files entering and leaving the unit;
  • Faxes communications and distributes as needed;
  • Files closed case files and monitors file retention policies;
  • Distributes mail, faxes, docket information, jails list to department staff;
  • Completes required reports in an accurate and timely manner;
  • Files juvenile and adult documents in a timely manner;
  • Set up file folders, label files, enter fees, copy the District Attorney files and process offenders coming from Court (hand out data sheets, take picture, etc.);
  • Assist officers in distributing information to County Attorney, Clerk, etc.;
  • Administer the PSI paperwork at intake and schedule PSI and SAE interviews;
  • Secure criminal histories for file; responsible for the disposal of secure criminal histories; maintain a log of all secure criminal histories ran and disposed;
  • Prepare Adult and Juvenile Court Orders;
  • Schedule and Reschedule offender and respondent appointments;
  • Log Tickets for CSS Help Desk.
FINANCIAL
  • Performs Receptionist duties when required by greeting persons/juveniles in a professional manner and referring them to appropriate personnel.
  • Performs adult and juvenile collection duties when required per Department fiscal policies and procedures.
  • Prepare juvenile and adult deposits according to department policy and transports deposits to the appropriate banking institutions;
  • Receipt, post and reconcile adult and juvenile daily deposits;
  • Prepare Adult and Juvenile restitution checks and document distribution;
  • Complete purchase orders; order office supplies, drug testing supplies, and postage in coordination with fiscal clerk. Knowledge Required by the Position
  • Knowledge of modern office practices and procedures;
  • Knowledge of department policies and procedures;
  • Skill in maintaining accurate files and records;
  • Skill in operating such office equipment as typewriter, calculator, computer, fax machine, computer and copier;
  • Proficient in Microsoft Word;
  • Ability to learn CSS, JCMS, Excel;
  • Physical condition commensurate with the demands of the position;
  • Ability to work in a stressful environment.
Supervisory Controls The supervisor assigns work in terms of very general instructions. The supervisor spot-checks completed work for compliance with procedures and the nature and propriety of the final results. Guidelines Guidelines include the Texas Administrative Code, and the 2nd 25th Judicial District policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application. Complexity and Scope of Work
  • The work consists of related duties in the supervision of offenders. Contacts
  • Contacts are typically with co-workers, other county personnel, law enforcement personnel, court personnel, judiciary, attorneys, offenders and their families, juvenile clients and their families and members of the general public.
  • Contacts are typically to provide services, to give or exchange information, to resolve problems or to motivate or influence persons. Physical Demands - Work Environment
  • The work is typically performed while sitting at a desk or table. The employee frequently lifts light objects.
  • The work is typically performed in an office.
Supervisory and Management Responsibility:
None Minimum Qualifications
  • Minimum one year of experience working in an office setting or equivalent;
  • Ability to read and write at a level commonly associated with the completion of high school or equivalent;
  • High School diploma or GED, higher education preferred;
  • Valid driver's license issued by the State of Texas for the type of vehicle or equipment operated, and current proof of liability insurance on the vehicle.
  • Able to pass a proof reading and spelling test;
  • Be computer literate, able to enter data correctly, and proficient with Microsoft Word.
  • Not currently on probation or parole or serving a sentence for a criminal offense.
  • Experience with legal terminology, court orders, court documents preferred.
  • Willing to work in Colorado, Lavaca or Gonzales CSCD as need be- all part of the 2nd 25th Judicial District.
