Round 1: Phone Screen Round 2: Onsite Panel Interview Role Overview We are seeking a highly organized and detail-oriented Engineering Administrative Assistant to support engineering and plant operations teams. This role focuses on coordinating administrative, reporting, and operational tasks to reduce non-technical workload for engineers and ensure smooth execution of projects and daily activities. Key ResponsibilitiesProject & Financial Coordination Maintain and update project spend data (capital and expense) in internal systems Request project charge numbers and support budget tracking in coordination with Finance Prepare, analyze, and distribute monthly reports (project spend, labor, SAP reports) Reporting & Metrics Management Track and maintain engineering and operational metrics Prepare recurring reports such as: One-pager metrics Divisional performance metrics ("vital fews") Ensure accuracy and timely delivery of reports Procurement & Logistics Support Coordinate purchasing requests, receipts, and documentation Support contractor-related material coordination Assist process engineers with experimental parts tracking and quoting Meeting & Calendar Management Coordinate logistics for engineering and plant meetings, including: Daily 10:00 AM plant project meetings Prepare agendas and consolidate presentations Capture meeting notes, track action items, and follow up on deliverables Manage calendars, conference rooms, and recurring meeting schedules Onboarding & Administrative Support Coordinate onboarding for employees, contractors, and interns Manage access requests, IT tickets, and facilities service requests Maintain shared calendars, distribution lists, and communication channels Training & Travel Coordination Organize onsite trainings, seminars, and events Coordinate travel logistics including: Registrations Documentation Itineraries Documentation & Compliance Maintain and update: SOPs Templates Checklists Controlled documents Ensure documentation aligns with plant workflows and audit requirements Support audit preparation and documentation readiness Communication & Coordination Draft and distribute communications on behalf of the engineering team Manage shared inboxes and collaboration tools (e.g., Teams, SharePoint) Track deadlines for: Project documentation Presentations Submissions and extensions Send reminders and follow up with stakeholders General Administrative Support Handle ad hoc administrative and coordination tasks Proactively identify opportunities to improve team efficiency Required Qualifications High School Diploma or GED (minimum) Proficiency in
Microsoft Office Suite:
Word, Excel, PowerPoint, Outlook Experience coordinating with multiple stakeholders Strong scheduling and calendar management skills Preferred Qualifications 2+ years of experience as an Administrative Assistant (engineering or technical environment preferred) Experience supporting project-based or operations teams Key Skills & Competencies Strong organizational and multitasking abilities Excellent attention to detail in data entry and documentation Ability to prioritize and manage multiple deadlines simultaneously Proactive problem-solving and follow-up skills Professional communication (written and verbal) Ability to work independently and in a team environment "TA01"
