Job Description
Job Summary We are seeking a dynamic and organized Administrative Assistant / Estimating Assistant to join our team. This vital role combines administrative support with estimating responsibilities, ensuring smooth office operations and accurate project cost assessments. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to support various departments and client interactions. This position offers an exciting opportunity to contribute to a fast-paced environment where efficiency and professionalism are key. This role requires everything from greeting clients and answering phones to assisting with contract adminsitration and engaging subcontractors in the bid adminstration prvcoess. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and specialized estimating software. Assist in preparing detailed project estimates by gathering data, and supporting the estimating team. Organize files, documents, and project records through effective filing systems to ensure quick retrieval and confidentiality. Provide exceptional customer service by supporting clients, vendors, and internal teams with inquiries and administrative needs. Coordinate calendar management, schedule appointments, meetings, and deadlines for team members or project managers. Support bookkeeping tasks such as invoicing, tracking expenses, and basic QuickBooks data entry to ensure financial accuracy. Handle clerical tasks including proofreading documents, managing office supplies, and maintaining a well-organized workspace. Assist with office management duties such as overseeing multi-line phone systems, managing office supplies inventory, and ensuring a welcoming front desk environment. Support estimating activities by reviewing project specifications, preparing preliminary cost analyses, and assisting with bid submissions. Qualifications Proven experience in office administration or clerical roles with a strong background in customer service. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and basic computer literacy skills. Familiarity with QuickBooks or similar bookkeeping software is preferred. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Strong typing skills with attention to detail for proofreading and data entry tasks. Experience working at a front desk or as a receptionist in medical or dental offices is a plus. Bilingual abilities are highly desirable to support diverse client needs. Knowledge of multi-line phone systems, calendar management, and office management best practices. Demonstrated ability to handle confidential information discreetly while maintaining professionalism at all times. Personal assistant experience or previous roles supporting estimating or project teams will be considered an asset.
