Position Summary:
The primary job responsibilities of the Administrative Assistant are to coordinate and administer general office activities, as well as accounts payable functions.
Essential Functions:
The Administrative Assistant may be assigned one or more duties. These duties include, but are not limited to, the following: Greet visitors. Perform a variety of clerical duties, including filing, faxing, and copying, composing and distributing memos, routine correspondence, and other documents, and directing incoming phone calls and mail. Develop and maintain professional and courteous relationships with internal and external customers. Communicate with property manager concerning building or maintenance issues. Monitor inventory of office supplies and upkeep of office machines, and order supplies and request maintenance as necessary. Code invoices, prepare and submit all accounts payable for payment. Process employee expense reports. Effectively communicate with all customers, staff and management. Manage time and organize work with minimal direction. Adhere to all Falck Aurora policies and protocols. Demonstrate ability to learn new computer programs and perform basic data entry.
Additional Duties:
The Administrative Assistant may be assigned one or more additional duties. These duties include, but are not limited to, the following: Attend all required meetings. Perform other job-related duties as assigned by Management.
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required. The individual in this position must possess the following qualifications: Typing 40 wpm (minimum). Minimum two years of experience in an office environment. Strong interpersonal and communication skills with an ability to work effectively with a diverse range of individuals, teams, managers, supervisors, and external customers. Excellent ability to communicate and work cohesively across department lines. Must have computer competency including proficiency with Microsoft Suite, and understanding of database programs. Must have the ability to consistently deliver outstanding customer service to all internal and external customers. Highly dependable and ability to meet internal deadlines consistently. Strong organization skills and attentiveness to detail. Flexible and adaptable, willing and able to adjust to rapidly changing priorities. Must have the ability to work independently as well as in groups. Ability to maintain a professional manner and appearance at all times.
Education Requirements:
The individual in this position must possess the following education requirements: High school diploma or general education degree (GED).
