Job Description The Administrative Assistant for Clinical Sciences is a full-time position responsible for providing administrative support to the Office of Clinical Sciences (OCS) and serving as the designated administrative assistant for the Associate Dean of Clinical Sciences. This role involves providing operational support, coordinating office activities, and assisting faculty and staff with various administrative tasks. The Administrative Assistant will collaborate to ensure the smooth functioning of the office and contribute to the mission of the University, the College of Veterinary Medicine at Orange Park and the Office of Clinical Sciences
Required Qualifications High school diploma or equivalent
Preferred Qualifications Office setting experience Some college Knowledge of university program goals and objectives Familiarity with veterinary medical field Relevant experience in higher education
Physical Demands Campus Job Duty
Job Duty Manage daily office operations, including answering phones, responding to emails, and handling correspondence
Job Duty Schedule and coordinate meetings, appointments, and events for the OCS
Job Duty Maintain and organize office files, records, and databases
Job Duty Assist with the preparation and submission of reports, grants, and other documents
Job Duty Serve as the initial point of contact for the OCS, providing information and assistance to faculty, staff, students, and external partners
Job Duty Facilitate communication between the OCS and other university offices and departments
Job Duty Draft and edit correspondence, reports, and other documents as needed
Job Duty Assist with budget monitoring, including tracking expenses, processing invoices and purchase cards
Job Duty Coordinate office purchasing and inventory, ensuring supplies and equipment are adequately stocked
Job Duty Assist with OCS and College events, such as Student Affairs events, seminars, workshops, and conferences
Job Duty Assist with logistics for events, including venue booking, catering, and travel arrangements
Job Duty Handle sensitive and confidential information with discretion in compliance with University procedures as well as state and federal regulations
Job Duty Maintain professionalism and courtesy in all interactions and communications
Job Duty Assist in community outreach and education programs related to veterinary medicine and animal health
Job Duty Collaborate and foster working relationships with peers, other colleges on campus, and external partners and stakeholders to attain the College s and University s goals
Job Duty Support the Operations section with administrative tasks as needed
Job Duty Perform related duties in support of the College s and University s mission and evolving needs
