Job Description
We are looking for an energetic Full Time Administrative Assistant for our HOA group at SaddleBrooke Ranch. Monday Through Friday
PURPOSE OF POSITION /SUMMARY
The purpose of this position is to provide support to the HOA Board of Directors (HOA Senior Management team).Primary functions may include:
maintaining records for HOA Board and various committees to support the operation of the HOA. Will perform accounting functions, homeowner and rental record keeping and issues, provide clerical support, and may be involved with personnel issues. Responsible for oversight of payroll input and expense reports, preparing and making HOA deposits and petty cash disbursements. Depending on the community, this position may be responsible for the front desk staff. Performs other duties as assigned.PRIMARY ACCOUNTABILITIES
Provide clerical and administrative assistance to the Board of Directors or Senior HOA managers which include: writing letters/correspondence, scheduling/set up meetings and taking minutes for Board meetings and various HOA committees. Is responsible for all recordkeeping associated with the HOA. Interaction with all HOA Committee Chairs and ensuring all meeting minutes are posted and recorded. First line of communication with Homeowners regarding any and all homeowner issues including comments, complaints,suggestions and concerns. Direct contact with many departments within the Corporate structure for the HOA, such as accounting, IT, etc. Payroll processing such as timesheets, HR related paperwork such as Position Requisition forms, employee change forms, expense reports. Duties may include scheduling job duties for front desk staff.Accounting paperwork which may include:
processing and routing invoices, check requests, handling HOA deposits, and responsible for petty cash. May handle collection and reporting efforts which involve homeowners whose dues are delinquent.EXPERIENCE/EDUCATION/COMPUTER/TECHNICAL REQUIREMENTS
1+ years previous office experience Strong computer knowledge Customer Service Experience Organized and able to Multi-Task SaddleBrooke Ranch is situated north of Tucson and is a master planned active adult community for the 55+ population. The community offers superb recreational amenities where employees work to provide services for the residents. Amenities include an 18-hole championship golf course and the La Hacienda Club, a sports, aquatics and fitness club with indoor and outdoor pools, billiards, a yoga/dance/fitness room, a bistro/lounge, multi-purpose rooms and spa and salon facilities.
