Job Description

Administrative Assistant, Instruction - Harrison County Campus Job Description Reports to the Dean of Instruction. The position is responsible for providing positive customer service experiences, directing inquiries and concerns to appropriate faculty and staff, and serving as an administrative leader, working in concert with other departments across the institution.
Job Duties General Duties:
1. Produce letters, spreadsheets, reports, and minutes utilizing computer software skills. 2. Maintain an accurate and complete organization system. 3. Maintain an effective working relationship with college personnel, students, and the community. 4. Answer incoming phone calls for the dean of teaching and learning in an effective, professional manner. 5. Assist the Dean of Teaching and Learning in planning and implementing routine responsibilities and functions. 6. Upgrade skill level and performance through staff development. 7. Demonstrate exceptional adherence to work schedules and policies.
Specific Duties:
1. Provide excellent customer service. 2. Prepare electronic schedules using Banner. 3. Monitor and process expenditures and revenues. 4. Identify opportunities for operational efficiency. 5. Provide excellent administrative support services to the faculty and staff in teaching and learning, including reducing the administrative load of faculty related to quotes, purchasing, and scheduling. 6. Compile and maintain data as required for institutional and external reports. 7. Arrange for college vehicles, transportation, reservations, and lodging requirements for the teaching and learning team. 8. Adhere to the institution's guidelines and policies. 9. Lead the functional aspects of meeting preparation, including scheduling, setup, refreshments, agenda distribution, and invitations. 10. Cross-train and serve as a knowledge resource in adjunct contracts, instructor overload pay, library and LRC services, and purchasing. 11. Support tours and guest experiences. 12. Perform other duties as assigned by the Dean of Teaching and Learning. Mandatory Qualifications (M1) Minimum of an associate degree in business and office technology or a related field. (M2) Proficiency in Microsoft Office Suite, including proficiency in Word, Excel, and Outlook. (M3) Effective organizational and communication skills. (M4) Training and/or experience in the operation of personal computers. (M5) Experience working in an office environment or serving in a customer service role Desirable Qualifications (D1) Bachelor's degree in business or related field. (D2) Experience with state/federal budgets and purchasing. (D3) Community college experience. (D4) Experience in using Banner software.
