RCAO is a Rahway-based nonprofit organization specializing in early childhood education, family services, and senior services. This role is ideal for someone who thrives in a fast-paced office environment, enjoys multitasking, and has a passion for providing exceptional customer service and administrative support. The Administrative Assistant will play a vital role in the daily operations of our childcare center and nonprofit administrative office by supporting office management, family engagement, enrollment assistance, reporting, and front desk operations. The ideal candidate must be dependable, organized, professional, and capable of maintaining confidentiality while interacting positively with families, staff, board members, and community partners. Responsibilities Greet visitors, families, and community members with professionalism and warmth Manage front desk operations and monitor building access by screening visitors and buzzing guests into the facility Answer and direct incoming calls using a multi-line phone system with professional phone etiquette Manage office emails, correspondence, and general inquiries Assist with enrollment paperwork and support enrollment processes for families Receive, organize, compile, and maintain monthly reports and documentation Assist with Board of Directors communications and administrative materials Perform data entry, filing, scanning, faxing, copying, and document organization Maintain confidential files and organizational records in compliance with agency policies Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for administrative tasks Assist with calendar management, scheduling, and office coordination Support office management activities, organization of files, and general clerical duties Assist with document creation, flyers, and basic design projects using Canva Maintain organized office systems and office supplies Provide excellent customer service and administrative support in a busy nonprofit and childcare environment Support additional administrative or special projects as assigned QualificationsRequired Must be at least 18 years old High school diploma or GED required Valid driver's license required Ability to pass all required background checks, including: CARI Check CHRI/Fingerprinting Strong organizational, interpersonal, and multitasking skills Excellent verbal and written communication skills Ability to maintain confidentiality and professionalism at all times Proficiency in: Microsoft Office Suite (Word, Excel, Outlook) Google Workspace/Google Docs Typing and data entry Strong time management and attention to detail Preferred Associate's degree in Business Management or related field preferred Bilingual candidates strongly encouraged to apply Experience in office administration, nonprofit organizations, childcare centers, or customer service environments preferred Experience with Canva preferred Experience managing front desk operations or multi-line phone systems preferred Work Environment This is an on-site position in a professional nonprofit and childcare setting. Reliability, punctuality, professionalism, and strong communication skills are essential. The schedule for this position is Monday through Friday from 7:00 a.m. to 1:00 p.m. and is non-negotiable.
