We are looking for a dependable, organized person to help support daily office operations and customer communication. This is a full-time, Monday-Friday office position with opportunity for long-term growth as the company continues to expand. Work Environment This is a quieter, independent office environment. The ideal candidate should be comfortable working independently, staying organized, and managing tasks without constant supervision. Some days may be slower-paced while others may involve higher customer and paperwork volume. Responsibilities
  • Answer incoming phone calls and emails
  • Communicate with customers regarding scheduling, paperwork, and project updates
  • Enter customer and project information into our CRM system
  • Send intake forms and collect customer documents/photos
  • Assist project data entry
  • Track permits and follow up on outstanding paperwork
  • Update and maintain workflow organization
  • Organize digital files and office paperwork
  • Receive equipment deliveries, verify items, and document deliveries with photos
  • Help maintain day-to-day office organization and coordination This Position Is NOT

  • HR•Bookkeeping/accounting•Hiring/recruiting•Prior office administrative experience required•Organized and detail-oriented•Strong communication and customer service skills•Comfortable using computers and learning new software systems•Able to work independently and stay productive during slower periods•Reliable and dependable•Experience in HVAC, construction, or contractor office environments is a plus but not required Software Used•CRM software•Microsoft 365 (Outlook, Excel, Word)•Basic spreadsheets and digital file organization Pay & Benefits•$22-25/hour depending on experience•Full-time position•Monday-Friday schedule•Health insurance•Paid time off•Paid training•Opportunity for growth into a larger administrative/office management role over time Grant Park Heating & Cooling is a small but growing company focused on quality work, strong customer communication, and long-term growth.
