Job Description

Job Overview The Administrative Support Coordinator is responsible for coordinating daily client service operations, maintaining accurate records, supporting staff and volunteers, and supporting the Client Services and Community Outreach Director. This position serves as a key link between client services, administration, and leadership, helping the organization to advance the center's mission to reach more, help more . Primary Responsibilities Client Services Coordination Liaison to help schedule client appointments and manage service calendars as well as maintain confidential client files and database records Ensure process is followed for intake forms, consents, and documentation to completed accurately Assist receptionist with client check-in, check-out, and follow-up communication procedures Help maintain a welcoming, respectful, and non-judgmental environment for all clients Administrative Support Provide administrative support to the Executive Director / Client Services Director Prepare reports, spreadsheets, and service statistics Track program participation and client outcomes Maintain office supplies and client materials inventory Assist with policy and procedure writing and implementation Support grant reporting and program documentation as needed General I.T. support as needed Volunteer & Staff Support Assist with recruiting, training and scheduling volunteers and other staff Help maintain training records and certifications Prepare materials for classes, client programs, or events Communicate updates, schedule changes, and service needs to volunteers and team members Program Support Help research and coordinate class curriculum, mentoring programs, or client education services Update systems when new educational programs are approved and available Content creation for social media platforms Prepare client incentives, boutique items, or program materials Assist with event preparation when related to client services Maintain organization of classrooms, counseling rooms, and client areas Confidentiality & Compliance Maintain strict confidentiality of client and organizational information Follow all organizational policies, HIPAA/privacy guidelines (if applicable), and state regulations Ensure accurate and secure record keeping Ensure process is followed for intake forms, consents, and documentation to completed accurately Assist receptionist with client check-in, check-out, and follow-up communication procedures Help maintain a welcoming, respectful, and non-judgmental environment for all clients Requirements
  • A committed Christian with a heart for serving women and families facing unplanned pregnancies, as well as an agreement with the center's statement of faith and pro-life mission.
  • Bachelor's degree (preferred) in business administration or related field.
  • Minimum 2-4 years' experience in program management, nonprofit leadership, or community outreach.
  • Strong business acumen, excellent organizational, written and verbal skills, with the ability to collaborate effectively.
  • Knowledge of HR practices, compliance requirements, and organizational management.
  • Ability to multi-task with attention to detail; public speaking a plus.
  • Proficiency in Social Media campaign planning and execution.
  • Proficiency in Microsoft Office and client or donor management software (or willing to learn).
Branches operates in two locations with growth potential depending on need and community support. The El Dorado Center is the hub, open 4 days a week. The Augusta Center is open one day a week, with plans to open a second day and perhaps a couple early evenings a month. One day a week is remote or flexible. Occasionally, you may be required on weekends for an event or church function.
Pay:
$35,000.00 - $45,000.00 per year
