Full-time Job Description Our client is looking for a highly experienced Firm Administrator to oversee day-to-day operations and support attorneys in delivering exceptional client service. This is a leadership role responsible for managing the firm's administrative, financial, and operational functions while ensuring efficiency, compliance, and a professional office environment. Ideal Candidate The ideal candidate is a seasoned law firm administrator who works independently, exercises sound judgment, and communicates effectively with attorneys, staff, and external vendors. This role requires someone who takes ownership of firm operations, anticipates needs, and brings structure and consistency to a boutique legal environment. Key Responsibilities Firm Operations & Management Oversee daily administrative and operational functions Develop and implement office policies, procedures, and workflows Act as the primary point of contact for operational and administrative matters Financial Management Manage billing, collections, trust accounting, and expense oversight Coordinate with external accountants on budgeting and financial reporting Monitor cash flow, vendor payments, and operational expenses Human Resources Oversee staff onboarding, offboarding, and personnel administration Coordinate payroll, benefits administration, and performance reviews Support recruiting efforts for attorneys and support staff Ensure compliance with employment laws and firm policies Technology & Systems Oversee legal practice management, billing, and document management systems Coordinate with IT vendors to maintain secure and efficient systems Identify and implement process improvements and technology enhancements Compliance & Risk Management Ensure compliance with State Bar regulations and trust accounting requirements Maintain confidentiality, data security, and internal controls Facilities & Vendor Management Manage office facilities and vendor relationships Oversee service provider contracts Ensure a professional and well-maintained office environment Required Qualifications Minimum 5 years of experience as a Firm Administrator or senior law firm operations professional Strong knowledge of law firm billing, trust accounting, and financial operations Experience managing staff and supporting attorneys Proficiency with legal billing and practice management software Excellent organizational, communication, and leadership skills Preferred Qualifications Experience working in a boutique or mid-sized law firm Familiarity with estate planning, trusts & estates, real estate, or business law practices Bachelor's degree in Business Administration, Finance, or a related field Location Requirement Must be located within approximately 50 miles of San Rafael, CASimilar jobs in San Rafael, CA
