Administrator Description:
Boston Choral Ensemble (BCE), a well-established, non-profit chamber choir, is seeking a part-time Administrator.

The Administrator will work closely with our Artistic Director and Board of Directors to manage BCE's core operations. We expect themitment to be roughly 4-5 hours/week, with variation throughout the year. Responsibilities The Administrator's priority will be managing the ongoing activities related to BCE's rehearsals and concerts. In addition, the Administrator will take on projects to update and streamline our operations, often in collaboration with the Choir's Executive Team and/or the Artistic Director.
Specific responsibilities include:
Event Management Books rehearsal and concert spaces, and serves as BCE's liaison to our venues Coordinates contracts and calendars for BCE's featured artists (soloists, apanists, etc.) and serves as liaison to them Manages day-of-concert logistics and front-of-house operations and volunteers Gathers content for concert programs and other ed materials; manages ing logistics for programs and other materials Secures copyright permissions (sync licenses) for publicly released recordings Coordinates all scheduling and sign-ups for auditions and re-auditions. Plans and manages one-off events (member retreat, post-concert reception, etc.) Internal Communication & Operations Manages BCE calendar of events, membership rosters, and other internal documentation Manages BCE's storage unit Gathers and disseminates information to the membership on a weekly basis Assists the Executive Team and Artistic Director with other administrative functions and projects as they arise External Communication Provides administrative support and backup to volunteers who update and maintain BCE's external platforms: (Squarespace), ticketing (Ticket Tailor), social media accounts ( and ), and email (Mailchimp) Collects andanizes content for social media, and other materials Provides administrative support for BCE's CRM database (Little Green Light) and assists with fundraising correspondence Submits event listings to various s
Qualifications:
Our ideal candidate isanized, proactive, and a clearmunicator with prior administrative experience.
Specific qualities include:
Prior experience in an administrative role, preferably in the performing arts and/or non-profit sectors. Excellent written and verbalmunication skills, attention to detail, and proofreading. Stronganizational skills and ability to aplish multiple tasks, work under pressure, and meet deadlines Ability to juggle multiple tasks and to respond with flexibility to changing priorities. Ability to successfully build and support constructive partnerships. Fluency in our current platforms (or the ability to pick them up quickly!): Google Workspace (especially: calendar, email, sheets, docs, account management); Adobe InDesign (or similar layout software); Squarespace; Canva; ; ; MailChimp; Zoom; Little Green Light (or similar CRM database). Ability to participate in scheduled evening and weekend concerts in-person in the Greater Boston area and to attend regular meetings (mostly virtual).
