Murray Plumb & Murray is a mid-size, well-respected law firm in Portland, Maine that is seeking a full-time Firm Administrator to oversee daily administrative operations, including work with the Directors and our bookkeeper on financial matters. The Administrator will be a senior level position reporting to the Managing Director.
Responsibilities include:
- Manage day to day operations;
- Payroll administration;
- Budgeting and financial reporting;
- Participate in management meetings and assist with strategic planning;
- Supervise support staff, including hiring, onboarding, discipline, and performance review;
- Work collaboratively with staff to problem solve and address areas of concern;
- Ensure that the firm complies with all relevant laws and regulations;
- Develop and enforce office policies and procedures, including yearly employee handbook updates;
- Administer all benefits, including health, dental, life, disability, and paid family medical leave insurance, 401(k), vacation, PTO, holidays and parking;
- Administer all commercial insurance lines, including building, professional liability, key person life, bonding, casualty, workers' compensation, and cyber insurance;
- Assist with management of multi-tenant commercial building, including management of tenants and tenant leases; and
- Assist with management of software and computer systems, including relationships with vendors.
Qualifications include:
Degree in business or management preferred; Prior experience as a firm administrator or similar position preferred but not required; Proficiency in Microsoft Office (Excel, Word and Outlook); Familiarity with legal practice software preferred; Familiarity with legal terminology and procedures preferred; High level of accuracy, attention to detail, and organizational skills; Comfort with technology; Strong written and oral communication skills and professional demeanor; Excellent teamwork skills and willingness to support others; Ability to multi-task, adapt to shifting priorities, and work under pressure around deadlines; Positive attitude; and Ability to identify and resolve problems.
