This is more than an administrative role — it's an opportunity to build and elevate a workplace services function that impacts employees, clients, and visitors every day. What You'll Do As the Workplace & Executive Services Manager, you'll lead workplace operations and executive coordination across multiple office locations. You'll oversee a team of Workplace Coordinators, drive operational consistency, and help create an engaging, professional, and high-performing environment companywide. In this role, you will: Partner closely with executive leadership to coordinate key meetings, communications, and organizational initiatives Lead and develop the Workplace Coordinator team across all locations Create consistent workplace standards, systems, and service experiences Oversee office operations, facilities coordination, vendor relationships, and shared workplace tools Coordinate leadership meetings, company events, board meetings, and off-site experiences Drive process improvements and identify opportunities to increase efficiency and organization Help shape a welcoming, engaging, and service-oriented employee experience What Makes This Role Unique This position combines: Executive partnership and organizational coordination Multi-location workplace operations leadership Team management and coaching Employee experience and culture support Process improvement and operational strategy If you enjoy building systems, improving experiences, leading people, and keeping fast-moving organizations running smoothly, this role offers significant visibility and impact.
Requirements:
What We're Looking For Required Qualifications 5+ years of administrative, office management, workplace operations, or executive support experience Experience leading administrative or operational teams Strong organizational and project management skills Exceptional professionalism, discretion, and judgment Ability to manage multiple priorities in a fast-paced environment Strong written and verbal communication skills Proficiency with Microsoft Office including Outlook, Word, Excel, and Teams Preferred Qualifications Experience supporting multi-location office operations Experience with workplace systems and office management tools Associate's or Bachelor's degree (or equivalent experience) Work Environment & Schedule Full-time, Monday-Friday In-office role with travel between office locations and company events as needed Collaborative, fast-paced, and highly team-oriented environment Success in This Role Looks Like A consistent, high-quality workplace experience across all offices Strong executive and employee satisfaction Streamlined processes and improved operational efficiency A highly engaged and well-developed Workplace Coordinator team Well-executed meetings, events, and workplace operations Why Join Kapnick Insurance?
