Job Description

Reporting to the President and CEO, the Senior Advancement Associate provides high-quality administrative support to ensure efficient day-to-day operations. This role requires strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. The position routinely handles sensitive information and must demonstrate professionalism and discretion in all interactions. The ideal candidate is proactive, reliable, and skilled at coordinating logistics, managing schedules, and supporting administrative processes across teams. Provide high level administrative support to the President & CEO, ensuring priorities are organized and tasks are completed accurately and efficiently. Manage and maintain the President's calendar, including scheduling meetings, balancing priorities, and applying an understanding of timing and preferences. Coordinate travel arrangements, including flights, lodging, transportation, and itineraries; collaborate with internal partners as needed to align schedules and logistics. Partners with the Board Relations and CEO Engagement Director to ensure the logistics are aligned with the work being done to prepare the President and CEO for the engagement. Track, process, and reconcile expenses, ensuring timely submission and accurate reporting. Provide administrative support for UICA leadership functions, and executive-level events, including scheduling. Assist with administrative processes that require coordination across UICA and university partners. Assists with stewardship and outreach processes as requested. Maintain and update records in constituent and administrative systems to ensure data accuracy. Utilize and maintain proficiency in administrative tools and systems, including Microsoft 365, SharePoint, OneDrive, and expense management platforms. Identify opportunities to improve administrative processes and enhance efficiency. Handle confidential information with a high level of integrity and professionalism. •Most work will be performed on site with some flexibility to work from home on occasion. Our office is located in Iowa City, IA.•
Education & Experience:
HS diploma + 9 years administrative experience, OR associate's degree + 7 years administrative experience, OR bachelor's degree + 4 years administrative experience.
