This vital role involves managing daily office functions, coordinating events, supervising staff, and ensuring smooth communication within the parish. The ideal candidate will bring energy, efficiency, and a passion for supporting community initiatives, fostering a welcoming environment for staff, parishioners, and visitors alike. Your leadership will help uphold the mission of the parish while maintaining an organized, vibrant office atmosphere. Responsibilities Oversee daily office operations, including front desk management and multi-line phone systems to ensure professional and courteous communication. Coordinate and plan parish events, meetings, and community programs from inception through execution to promote engagement and participation. Supervise administrative staff, providing training, support, and development opportunities to foster a motivated team environment. Manage scheduling for clergy, staff, volunteers, and facility use to optimize resource allocation and event planning. Handle vendor relationships for supplies, maintenance services, and external contractors to ensure timely delivery and quality standards. Maintain accurate bookkeeping records using QuickBooks or similar accounting software, including payroll processing and expense tracking. Oversee human resources functions such as employee records management, onboarding new team members, and ensuring compliance with policies. Manage budgeting processes by monitoring expenses against approved budgets to support the financial health of the parish. Ensure meticulous filing systems are maintained for all administrative documents, correspondence, and records retention. Requirements Proven experience in office management or administrative roles within a church or medical office setting is highly desirable. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent communication skills—both verbal and written—to interact effectively with staff, parishioners, vendors, and community partners. Supervising experience with a demonstrated ability to lead teams and foster professional development. Proficiency in QuickBooks for bookkeeping tasks as well as calendar management tools for scheduling purposes. Knowledge of event planning from logistics coordination to execution ensures successful community gatherings. Experience with vendor management, payroll processing, budgeting, filing systems, and clerical duties is essential. Familiarity with multi-line phone systems and front desk operations enhances daily office flow. Ability to handle sensitive information discreetly while maintaining professionalism at all times.
