POSITION TITLE
: Parish Administrator
POSITION SUMMARY
: To assist the Rector, staff, and congregation in carrying out a variety of administrative, publication, communication and management tasks resulting in the effective operation of the church office in support of the congregation's mission and ministry.
RESPONSIBILITIES AND DUTIES
To produce digital and print publications for Christ Church, including but not limited to:
Electronic:
Congregational communications & news updates
Print:
Weekly bulletins including announcement updates for Sunday worship services To maintain an efficient and effective office environment, including but not limited to: Purchase & procure office and church supplies, postage, etc., for office and ministry staff Process incoming and outgoing mail and package deliveries Help maintain office efficiency by complying with office procedures and standards of excellence and professionalism Serve as the primary control for the church database, working with profiles and membership reports Oversee maintenance of office equipment and computers. Review performance and age of office equipment and computers and, in consultation with church leadership, determine when replacement equipment should be purchased Maintain the churchwide calendar ensuring timely and accurate information is reflected Coordinate with the Rector for overlaps toward efficient operations Resourcefulness in finding solutions for operational or administrative issues Initiative to anticipate needs, address challenges, and identify ways to improve office processes Willingness to take on additional tasks as required to support the team and mission To welcome and assist all who contact Christ Church, including but not limited to: Assist in answering general phone and in-person inquiries, direct calls, and provide appropriate church information as needed In-person members, guests, repair and service workers Friendly, approachable demeanor to create a welcoming environment for visitors, staff, and donors Oversee the cleanliness and organization of the office To perform functions that support the Rector and staff toward their ministry, including but not limited to: Correspondence and congregational mass mailings Monitor the church's email address, respond appropriately in a professional manner or refer where appropriate Recordkeeping and reports: Maintain church membership database
Certificates & Records:
Baptism, Marriage, Membership, and Transfers Calendar maintenance: Christ Church events and ministry, tracking facility usage Housing of all usernames and passwords for online platforms and church website May be asked to evaluate vendor accounts and negotiate better rates Maintain lists for key distribution, alarm codes, etc.
