Role Overview The Operations Manager is a senior leadership position responsible for the daily operations of the firm and serves as the operational backbone of the practice. Reporting directly to firm leadership, the Operations Manager builds and maintains the systems, workflows, and team culture that allow our attorneys and client-facing teams to focus on serving clients well. This role owns office administration, HR, hiring, benefits administration, vendor relationships, and IT oversight, and partners with leadership to support firm expansion and growth. NW Legacy Law is preparing to grow into additional cities and states, and the Operations Manager will be a key partner in scaling the firm, building infrastructure that works across multiple offices, and helping new locations launch with the same quality and culture as the home office. Key ResponsibilitiesOperations Leadership and Multi-Location Growth Lead and manage the daily operations of the firm, including office administration, staffing, and project coordination Partner with firm leadership on multi-location growth, including expansion into new cities and states Build operational infrastructure that scales across offices, including standardized workflows, playbooks, and onboarding systems Support the launch of new office locations, from site setup and vendor selection to staffing and systems rollout Ensure new locations open with the same quality, processes, and culture as the home office Workflow and Process Management Manage overall firm workflows across client intake, matter management, and client service delivery Identify, evaluate, and implement new tools and software to improve operational efficiency Document standard operating procedures for recurring processes and train staff on adoption Identify and resolve operational bottlenecks and inefficiencies as the firm grows Financial Oversight Monitor the operating budget and expenses across the firm Coordinate with bookkeeping and finance teams on monthly reporting Flag variances and recommend corrective action to firm leadership Manage vendor contracts and procurement decisions in alignment with budget priorities Human Resources and Hiring Lead HR functions, including onboarding, performance management, and employee relations Manage hiring across all roles, partnering with firm leadership on sourcing, interviewing, and selection Plan and execute team retreats, off-sites, and culture-building activities Maintain the employee handbook, HR documentation, and personnel files Ensure compliance with relevant employment laws and regulatory requirements Benefits Administration Manage the benefits relationship with Golsan Scruggs Insurance, including annual renewals and open enrollment Administer the 401(k) plan through Employee Fiduciary and serve as the primary contact for plan questions Communicate benefits information clearly to staff and support employees through enrollment and life events Office Management and Vendor Relationships Oversee day-to-day office management, including supplies, facilities, and vendor relationships Develop and maintain relationships with key vendors, partners, and service providers Evaluate vendor performance and recommend renegotiation or replacement when appropriate IT and Systems Oversight Oversee IT vendor relationships and service delivery Coordinate hardware, software, and licensing procurement Ensure data security and compliance with legal industry standards Manage user access, onboarding, and offboarding across all firm systems Required Qualifications Minimum of 5 years of experience in operations management, preferably in a professional services or law firm setting Proven experience scaling and growing a firm or organization, ideally across multiple offices, cities, or states Track record of building systems and processes that scale with the business and that integrate and hold teams accountable to key performance indicators Experience standing up new locations or business units, including site selection, staffing, and operational rollout Strong people management skills with direct experience leading hiring and HR functions Experience managing budgets, expenses, and vendor relationships Comfort with technology and a track record of evaluating and implementing new tools Working knowledge of employment law, benefits administration, and HR best practices Excellent written and verbal communication skills Strong organizational skills and the ability to manage multiple priorities at once High emotional intelligence and a genuine commitment to team development and personal growth Preferred Qualifications Bachelor's degree in business administration, management, or a related field Experience in a law firm or other professional services environment (legal, financial, or advisory firms) Background in estate planning, probate, or related legal services Experience opening or operating multi-state offices, including familiarity with state-specific employment and compliance considerations Experience selecting and implementing practice management, CRM, or workflow automation software Experience working within a values-driven or purpose-oriented organization Compensation and Benefits NW Legacy Law offers a comprehensive benefits package designed to support the whole person: Salary $90,000 to $105,000 As a general rule, NW Legacy Law believes in paying people well and providing them a supportive environment where they can do meaningful work. Plus, as a team member you will receive 10 days PTO in year one, increasing to 15 days after 2 years and 20 days after 6 years. The Operations Manager will work during core business hours (Pacific Time) and participate in daily team activities, firm events, and in-person collaboration. As the firm prepares to expand into additional cities and states, this role will require periodic travel to support new office launches, vendor visits, and team development across locations.
