Job Description

THE ROLE
We're looking for a Management Assistant to serve as the administrative nerve center for the 88th Readiness Division Directorate of Public Works (DPW) at Fort McCoy, WI. This is not a standard administrative support role — it's a leadership-adjacent operations position that works directly with the DPW Director and Deputy Director, oversees a team, and serves as the hub through which tasking, resources, correspondence, and operational coordination flow across all DPW divisions. You'll own Government Furnished Equipment (GFE) accountability for the DPW, manage the full administrative lifecycle of actions and taskings across divisions, and keep DPW operations running with the discipline and responsiveness that senior Army leadership expects. The right person is organized, authoritative in their lane, and comfortable operating at the pace of a large command staff.
WHAT YOU'LL DO
Lead a team of administrative and support staff — assigning work, managing priorities, providing guidance, and ensuring team output meets DPW leadership standards. Serve as the primary interface between DPW leadership (Director and Deputy Director) and the broader organization on administrative actions, taskings, and day-to-day operational coordination. Own GFE accountability for the DPW — maintaining accurate records of all Government Furnished Equipment, tracking location and status, coordinating turn-ins and transfers, and ensuring accountability at all times. Administer and track all DPW actions and taskings — managing suspense dates, coordinating responses across Division Chiefs, and ensuring nothing falls through the cracks. Review incoming correspondence, directives, and taskings for priority — flagging time-sensitive or high-impact items for immediate leadership attention. Review outgoing correspondence for format, proper staffing, and compliance with Army standards (AR 25-50) before DGR approval and release. Author memoranda, draft responses to USARC and 88th RD taskers, and prepare briefings and white papers for DGR review and approval. Manage DPW document control — maintaining current policy libraries, SOPs, and regulatory references in Government-designated locations. Coordinate visitor access, scheduling, and administrative support for DPW leadership. Manage GSA vehicle requests and usage logs, training records across contractor and civilian personnel, and office supply inventories. Produce presentations, spreadsheets, and analytical products in support of DPW leadership requirements. Support ISR data collection, contract administrative tracking, and other operational support functions as directed.
WHAT WE'RE LOOKING FOR
Required:
3+ years of progressive administrative or operations experience in a Government, military, or DoD contractor environment — with demonstrated experience coordinating at a command or senior leadership level. Experience supervising or leading a small team — assigning work, managing performance, and ensuring output quality. Demonstrated ability to manage competing priorities, track multiple open actions simultaneously, and enforce deadlines across a diverse organization. Strong written communication skills — ability to draft Army-format correspondence, memoranda, and briefing products that are ready for leadership review with minimal rework. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint). Ability to handle sensitive information and pre-decisional products with appropriate discretion.
Preferred:
Prior experience in a DPW, garrison headquarters, or equivalent Army or Army Reserve command administrative function. Familiarity with Army tasker management systems (GEARS or equivalent) and Army correspondence standards (AR 25-50). Experience managing GFE accountability or property records in an Army or DoD environment. Experience with Army or DoD training management systems and requirements tracking.
WHAT TO EXPECT
On-site at Fort McCoy, WI in a Government workspace — working directly within the DPW leadership suite. Fast tempo, high visibility. You're supporting the Director and Deputy Director; responsiveness and reliability are the standard. Supervisory responsibility for five staff — this is a leadership role with team accountability.
