Job Description
The Pediatric Therapy Assistant & Administrative Coordinator is a versatile team member who supports both the clinical and administrative functions of a pediatric therapy practice. This role is ideal for an organized, compassionate, and energetic individual who enjoys working with children and families while ensuring the office operates efficiently. The position combines front desk responsibilities, scheduling, customer service, administrative support, and therapy assistance. The individual serves as one of the first points of contact for families and plays a critical role in creating a welcoming, organized, and child-centered environment.
Key Responsibilities:
Administrative and Front Desk Duties Greet families, clients, and visitors in a warm and professional manner. Answer incoming phone calls and respond to emails and text messages promptly. Schedule, confirm, and reschedule therapy appointments. Manage therapist calendars and maintain accurate schedules. Verify patient information and update electronic records. Collect intake forms, consent documents, and other required paperwork. Assist families with onboarding and explain office procedures. Process payments and provide receipts as needed. Maintain confidentiality and comply with HIPAA requirements. Prepare and send reminder calls, texts, and emails. Order office and therapy supplies and maintain inventory. Assist with data entry, reports, and other administrative projects. Open and close the clinic according to established procedures. Ensure waiting areas, therapy rooms, and workspaces are clean and organized. Monitor and restock snacks, office supplies, and therapy materials. Perform other duties as assigned to support clinic operations. Therapy Support Duties Prepare treatment rooms and therapy materials prior to sessions when needed. Clean and sanitize toys, equipment, and therapy spaces between sessions. Organize therapy supplies, sensory equipment, and educational materials. Assist therapists with assembling treatment activities and home programs. Support therapists with copying, laminating, cutting, and creating resources. Help maintain therapy equipment and ensure materials are in good condition. Observe therapy sessions when appropriate to understand clinic flow. Assist with special events, workshops, and community outreach activities. Required Qualifications:
High school diploma or GED required. Associate degree or coursework in education, child development, psychology, healthcare, or related field preferred. Minimum of 1-2 years of administrative, customer service, or pediatric support experience preferred. Proficiency with Microsoft Office and scheduling software. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to multitask and manage competing priorities. Ability to maintain confidentiality and professionalism. Ability to lift up to 30 pounds and move therapy equipment as needed. Current CPR/First Aid certification preferred.
