Executive Administrative Coordinator Compassion Church Part-Time | Approximately 25

Monday-Thursday:
9:00 AM - 2:00 PM (On Site)
Sundays:
8:15 AM - 12:00 PM Full Time possibilities
Position Summary:
The Executive Administrative Coordinator serves as the primary administrative support for Compassion Church and provides direct executive support to the Lead Pastor and Executive Pastor. This role oversees church scheduling, communication, registrations, office operations, guest assimilation processes, and day-to-day administrative functions while helping create an organized, welcoming, and ministry-focused environment. The ideal candidate is highly organized, detail-oriented, relational, proactive, and passionate about serving the local church. This individual must be able to manage multiple priorities, communicate effectively, and maintain professionalism in a fast-paced ministry setting.
Primary Responsibilities:
Executive & Administrative Support Serve as Executive Assistant to the Lead Pastor and Executive Pastor Manage calendars, scheduling, meetings, and appointments Answer phones, emails, and general church correspondence Coordinate meetings, ministry communication, and administrative projects Maintain organized digital and physical filing systems Assist with general office administration and day-to-day operations Church Operations Manage church calendar scheduling and facility use Coordinate and communicate with individuals or groups renting church facilities Oversee church registrations, ministry sign-ups, and event forms Create and manage forms, events, and registrations within church management systems Order office and ministry supplies as needed Maintain and organize staff lounge and kitchen supplies Help ensure office, lobby, and shared ministry spaces remain welcoming and orderly Assist ministry leaders with administrative and operational support Assimilation & Database Management Enter and maintain guest, attendance, member, and donor information Manage visitor follow-up processes and new guest communication Process attendance reports and weekly church metrics Maintain accurate church database records and assist with list management Support guest assimilation and communication workflows Event & Ministry Support Assist with planning and coordinating church events, baptisms, outreach opportunities, and ministry initiatives Support communication and organization for special events and church-wide activities Coordinate details and logistics for meetings and ministry gatherings as needed Sunday Responsibilities Provide on-site administrative and operational support during Sunday services Assist with attendance tracking, guest coordination, and ministry communication Help ensure a smooth and welcoming Sunday experience Qualifications Strong organizational and multitasking abilities Excellent written and verbal communication skills High attention to detail and follow-through Proficiency in Microsoft Office and church management software Ability to manage confidential information with professionalism and discretion Friendly, servant-hearted, and team-oriented attitude Ability to work independently while supporting a collaborative ministry environment Preferred Qualifications Previous administrative or executive assistant experience Experience working in a church or nonprofit setting Strong interpersonal and customer service skills Passion for the local church and helping people find and follow Jesus Expectations Must call Compassion Church home and actively support the mission and vision of the church Maintain a Christ-centered lifestyle and professionalism in all interactions Support and uphold the vision, leadership, and values of Compassion Church Be dependable, flexible, and willing to serve where needed Maintain prompt and effective communication with church leadership and staff
