We're growing quickly and looking for a high-performing Administrative Coordinator who thrives in a fast-paced environment, takes ownership, and loves keeping operations organized and efficient. This is not an entry-level "sit at the front desk" role. We're looking for someone sharp, resourceful, detail-oriented, and proactive — someone who enjoys solving problems, managing moving pieces, and being a key part of a winning team. What You'll Be Doing HR Compliance & Credential Coordination Prepare and organize employee credential files and HR compliance packages Verify licenses, CPR certifications, TB tests, physicals, background checks, and onboarding documents Ensure all documentation is accurate, complete, and survey-ready Administrative Operations Manage multiple projects, deadlines, and client files simultaneously Track workflows and updates using Zoho CRM and internal systems Use Adobe Acrobat to edit, organize, and compile documents professionally Client Communication & Customer Support Answer incoming calls and guide clients through HR compliance requirements Communicate clearly and professionally with healthcare business owners Coordinate with internal compliance staff and field inspectors to ensure smooth operations Team Coordination Help optimize scheduling and communication between inspectors, clients, and staff Identify issues proactively and help solve them before they become problems What We're Looking For Required Traits We hire based on attitude, professionalism, and work ethic first.
You should be:
Extremely organized and detail-oriented Reliable and accountable Calm under pressure and adaptable to change Professional on the phone and in writing Comfortable managing multiple priorities at once Naturally proactive and solution-focused Preferred Experience Administrative coordination or office operations experience HR documentation, credentialing, staffing, or compliance experience Experience using Adobe Acrobat Experience with Zoho CRM or similar systems Healthcare industry experience is a plus Education Business Administration degree preferred, but strong experience will absolutely be considered.
