Job Description

Provider Relations Administrative Coordinator The Provider Relations Administrative Coordinator is responsible for supporting provider onboarding, physician and APP relations, operational coordination, scheduling support, recognition programs, and administrative functions across multiple healthcare service lines including emergency medicine, hospitalist medicine, anesthesia, and specialty programs. This role serves as a central point of coordination between providers, credentialing, scheduling, site leadership, hospital contacts, and internal departments to ensure a positive provider experience and smooth operational workflow. The ideal candidate is highly organized, detail-oriented, professional, able to manage multiple priorities simultaneously, and comfortable working in a fast-paced healthcare environment. Essential Duties and Responsibilities Provider Onboarding & Relations Coordinate onboarding activities for newly hired providers after credentialing approval. Schedule EMR training for providers prior to their first scheduled shift. Serve as a point of contact for provider onboarding questions and follow-up items. Support provider engagement and communication initiatives. Provider Support & Administrative Coordination Monitor and follow up on incomplete chart notifications from hospitals and HIM departments. Communicate directly with providers regarding outstanding chart completion requirements and deadlines. Maintain professional communication with hospital contacts and internal leadership teams. Coordinate provider recognition programs including Nurses Week, PA Week, NP Week, CRNA Week, and other appreciation initiatives. Assist with ordering, preparing, and distributing gift cards, promotional materials, and recognition packages. Coordinate food deliveries, catering logistics, and hospital contact communications for provider and nursing recognition events. Assist with holiday gift basket coordination and distribution across multiple business lines and hospital sites. Educational Program Coordination Maintain provider tracking within Smartsheet and other databases. Coordinate curriculum distribution and website access for new providers. Schedule recurring meetings, check-ins, and milestone evaluations with physician leadership. Maintain accurate program participation records and communications. Provider Database & Contact Management Create and maintain provider contact cards and provider profiles within company systems. Update provider demographic information, contact information, emergency contacts, and organizational group assignments. Ensure provider information is accurate and current across internal systems and directories. Coordinate communication distribution lists and provider access updates. Expense Report Coordination Process provider and leadership expense reimbursement documentation and spreadsheets. Review receipts, invoices, travel expenses, hotel stays, rental cars, rideshare expenses, and related supporting documentation. Verify provider work schedules against submitted travel dates and reimbursement requests. Submit completed expense reports for leadership approval. Maintain organized records of submitted reimbursement documentation. Administrative & Operational Support Maintain spreadsheets, reports, databases, and tracking tools related to provider operations. Assist with scheduling coordination and provider communication efforts. Prepare correspondence, reports, labels, and mailings using company systems and software. Support special projects, operational initiatives, and departmental needs as assigned. Collaborate with recruiting, credentialing, scheduling, HR, and operational leadership teams to ensure smooth provider support processes. Qualifications High school diploma required; Associate's or Bachelor's degree preferred. Minimum 2 years of administrative, healthcare coordination, provider relations, recruiting coordination, or healthcare operations experience preferred. Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Ability to maintain confidentiality and professionalism. Proficiency in Microsoft Office Suite including Excel, Word, Outlook, and Teams. Experience with Smartsheet. Ability to work independently while also collaborating effectively with cross-functional teams. Preferred Skills Experience coordinating provider onboarding. Knowledge of healthcare operations and provider scheduling workflows. Experience creating expense reports and administrative documentation. Ability to work in a fast-paced, deadline-driven environment. Strong customer service and relationship-building skills. Physical & Work Environment Primarily office-based position with frequent computer and phone usage. Occasional lifting of office supplies, packages, or event materials may be required.
