Job Summary:
Provide administrative and operational support for the U-System and FIS competitive teams based at Palisades Tahoe (Olympic Valley). Responsibilities include a wide range of day-to-day administrative and operational tasks in support of high-level competitive programming; duties may evolve based on program needs and direction from management. This is an on-site position, with occasional opportunities to travel in support of races and training camps.
Hourly:
The base hourly pay range below represents the low and high end of the Palisades Tahoe Resort, LLC's hourly pay range for this position. Actual pay will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel. The range listed is just one component of Palisades Tahoe Resort, LLC's total compensation package for employees. Other rewards may include short-term and long-term incentives and many region-specific benefits.
Base hourly pay range:

Employee Assistance Program (EAP) Essential Job Responsibilities Administrative & Operational Support Collaborate daily with Department Manager, Head Coaches, and Admin/Ops peers to support team operations. Track deadlines and ensure timely completion of tasks, documentation, and deliverables. Manage incoming calls, voicemails, and inquiries; route as appropriate . Create and distribute communications, alerts, and updates to families and coaches. Maintain organized digital filing systems using approved tools (e.g., SharePoint). Support programs, initiatives, and operational processes; provide cross-coverage as needed. Roster Management & Athlete Support Maintain accurate rosters, staff profiles, and internal databases; generate reports as needed. Manage registration and rostering processes in coordination with the Admin/Ops team. Support athlete onboarding, including family communication, uniforms, passes, and visiting athletes. Team Fees, Travel & Financial Coordination Ensure athlete payments are accurate ; resolve discrepancies and support family billing inquiries. Maintain trip financials, including travel estimates, cost communication, and final expense reconciliation. Manage Inntopia billing, including charges, credit card updates, and payment support. Oversee expense management in Microsoft D365, including report submission, coding, and reconciliation. Process reimbursements, manage company card/account tracking, and coordinate with Payroll and finance support teams. Support gear purchasing , including quotes, budgeting, and purchasing coordination. Coordinate travel logistics (airfare, lodging, ground transportation) for approximately 30 trips annually. Maintain strong vendor relationships to support recurring seasonal travel needs. Support planning and execution of Summer and Fall camps, including logistics , vendor coordination, budgeting, registration, and billing. Workforce Administration & Coach Support Assist with scheduling, staffing plans, and daily operational support. Monitor timecards, attendance, and payroll compliance; follow up on discrepancies in alignment with company policies. Support hiring, onboarding, and offboarding, including compliance requirements and system access. Assist coaches with team systems, tools, and operational processes. Communication & Coordination Deliver high-quality, professional service to athletes, families, staff, and resort partners. Serve as a liaison across teams, administrative staff, mountain operations, and resort departments. Safety & Incident Support Support weekly safety meetings and maintain required documentation. Assist with incident response, reporting, and family communication in coordination with leadership and the Incident Manager.
Competencies and Job Requirements:
Relevant Experience :
1-3 years of administrative or operational experience in competitive sports; skiing or snowboarding experience preferred.
Industry Knowledge:
Understanding U-System and FIS training and race schedules (regional, national, and international from Far West to FIS); including athlete development and progression pathways.
Additional Desired Knowledge:
Travel and expense management, team management solutions/CRM solutions, accounting practices; familiarity with Inntopia and RTP but not required. Proficiency in
Microsoft Office Suite :
Strong expertise required in Excel, Outlook, MS Teams (web & desktop-based), PowerPoint, Word. Or equivalent to Google Suite.
Telephone and Voicemail Management :
Ability to manage phone/voicemail systems effectively.
Communication Skills :
Effective oral and written communication, both internally and externally.
Guest Service:
Provide top-quality guest service to families in a friendly and positive manner.
Safety Awareness:
Strong sense of athlete/coach safety.
Organizational Skills:
Highly organized, detail-oriented, and able to manage multiple priorities and large volumes of information across email, phone, messaging, and alerts.
Initiative & Problem Solving :
Self-motivated and forward-thinking, with the ability to anticipate needs, resolve issues independently, and support process improvements.
Availability & Reliability:
On-site availability required, including weekends and holidays during the winter season (October-May); consistently punctual and dependable.

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perceptions, and the ability to adjust focus.

Indoor/Outdoor:
While performing the duties of this job, the employee will frequently exposed to outside weather conditions. The employee will frequently be exposed to extreme cold, wetness and/or humidity, and occasionally blizzards and extreme storm conditions.
Hazardous Materials/Noise:
The noise level in the workplace is usually moderate during the day, but loud and busy at times when coaches arrive at the beginning or end of their shifts. Equipment Used in
