Job Overview This role is with Horizon Helix IT, our managed IT services division. We're looking for a motivated, detail-oriented Administrative Coordinator to support our technical team by taking on key operational functions — answering phones, creating support tickets, quoting, purchasing, and renewals — so our engineers can stay focused on delivering great IT service. You don't need to be a technical expert, but an ability to recognize patterns, stay organized across multiple moving parts, and communicate clearly in a tech-driven environment will set you up for success and growth within our company. Responsibilities Handle incoming calls with excellent phone etiquette, create support tickets from calls, and direct to the right team Provide customer support by addressing client questions promptly via phone or email, log all interactions as tickets, ensure a positive experience Prepare and track customer quotes using company templates and vendor pricing Manage purchasing requests, including vendor coordination and purchase order follow-up Handle renewals for software licenses, service agreements, and maintenance contracts Maintain organized records of quotes, orders, and vendor communications Serve as a professional point of contact for clients and vendors via phone and email Support the IT team by taking on administrative and operational tasks as needed Assist with scheduling, reporting, and general office coordination, including order fulfillment for our wellness company Health by Principle Assist with office management duties such as ordering supplies, maintaining office equipment, and coordinating maintenance requests Qualifications Proven experience in office management or administrative support roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong typing skills and computer literacy to facilitate data entry and document proofreading Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
