Job Description
We are seeking an experienced, organized, and motivated Administrative Director to oversee the daily operations of a growing organization. This leadership role is ideal for a professional who thrives in a fast-paced environment and has strong administrative, financial, customer service, and operational management experience. The Administrative Director will play a critical role in ensuring smooth day-to-day operations, supporting customer acquisition, maintaining financial accuracy, meeting prospective customers, and helping drive overall organizational success. Requirements & Qualifications:
Bachelor's degree in Business Administration, Accounting, or related field 3+ years of experience in administrative leadership, or operations management Bookkeeping experience, preferred Experience with Microsoft Office Products Experience with CRM and Quickbooks, preferred Strong organizational, leadership, and multitasking abilities Excellent communication and customer service skills Ability to maintain confidentiality and handle sensitive information Experience in a regulated environment, preferred. Excellent presentation skills Ability to manage critical deadlines, have keen attention to detail and must be able to work collaboratively across departments to ensure smooth office operations Ability to plan, develop, and coordinate multiple projectsKey Responsibilities:
Daily Operations & Leadership Oversee daily administrative operations to ensure efficiency and smooth workflow. Manage office procedures, scheduling, supplies, and facility coordination. Supervise administrative staff and support team productivity and accountability. Improve internal systems and operational processes. Admissions Support & Customer Presentations Lead professional and engaging presentations for prospective customers Serve as a key point of contact for customer inquiries and support Assist with follow-up communication to prospective customers Support growth through excellent customer service and relationship building. Bookkeeping & Financial Administration Perform bookkeeping functions including accounts receivable, accounts payable, invoicing, and expense tracking. Manage customer payments, payment plans, and financial records. Assist with budget tracking, reporting, and maintaining financial accuracy. Work with accountants and leadership on financial reporting and compliance. Compliance & Record Management Maintain customer records and required documentation. Support compliance with regulators and organizational policies. Assist with audits, reporting, and administrative recordkeeping. Staff & Organizational Support Support employee onboarding, scheduling, payroll coordination, and administrative needs. Help maintain effective communication across departments. Assist with organizational events, outreach efforts, and community relations. Must be able to pass a Background Check, Credit Check and Drug Test, including marijuana.
