In this role, you will serve as a central point of contact for project planning, execution, and communication, ensuring that all project activities are completed efficiently and effectively. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a keen eye for detail. This position offers an opportunity to contribute to the successful delivery of projects across various departments while supporting overall organizational goals. Key responsibilities include coordinating project schedules, managing documentation, facilitating communication among team members, and ensuring timely completion of project milestones. The Project Coordinator will also assist with resource allocation, track project progress, and support the preparation of reports and presentations. This role requires a dedicated professional capable of multitasking in a fast-paced environment while maintaining high standards of accuracy and professionalism. Responsibilities Develop and maintain detailed project schedules, timelines, and task lists to ensure timely execution Coordinate meetings, prepare agendas, take minutes, and distribute follow-up actions Monitor project progress and update stakeholders regularly on status and potential issues Manage project documentation including contracts, reports, correspondence, and files Facilitate communication among team members, clients, vendors, and other stakeholders Assist with resource planning and allocation to optimize project efficiency Track project budgets and expenses; support basic bookkeeping tasks as needed Support the preparation of presentations, reports, and data analysis for project reviews Ensure compliance with organizational policies and quality standards throughout all phases Utilize office management tools such as Microsoft Office Suite, Google Workspace, and data entry systems Maintain professional phone etiquette when handling multi-line phone systems or front desk inquiries Skills Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office (Word, Excel PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively Strong written and verbal communication skills; bilingual abilities are advantageous Experience with calendar management and scheduling tools Demonstrated ability to handle multiple responsibilities simultaneously with attention to detail Knowledge of data entry procedures, proofreading techniques, and filing systems Exceptional customer service skills with professional phone etiquette Ability to adapt quickly to new software platforms or office procedures Previous experience in medical or dental office settings is beneficial but not required This position is an excellent opportunity for a motivated individual seeking to develop their career in project coordination within a supportive environment.
