The Administrative Supervisor will coordinate, distribute, and maintain the schedule of work shifts and assignments by ensuring that every shift and position is properly staffed. Responsible for contacting, handling, and responding to schedule changes, call outs, and client requests by coordinating productivity and performance. This position will coordinate schedules, maintain accurate records, and support the payroll process. The Administrative Supervisor is accountable for ensuring efficiency for scheduled shifts and to work in compliance with applicable laws when assigning schedules.
KEY RESPONSIBILITIES
The following are examples only and are not intended to be all-inclusive or restrictive; other duties may be assigned as necessary.
  • Create and maintain consistent schedules for officers.
  • Analyze, communicate, and schedule personnel based on company or client needs.
  • Oversees the daily workflow, schedules, and assignments of security staff.
  • Communicate with personnel regarding schedules and site assignment(s)
  • Knowledgeable of post orders.
  • Review staffing levels to maintain full coverage of posts.
  • Assign sites and/or staff due to officer call outs and no shows.
  • Develop and maintain daily reports on officers regarding work hours, requests for leave, time off requests.
  • Maintains regular, consistent attendance record of Security Guards by ensuring appropriate timekeeping via time tracking system.
  • Collaborate with the HR/Payroll department to ensure accurate and timely processing of payroll.
  • Collect and verify time sheets to avoid payroll discrepancies as well as any all-other penalties, differentials, and other applicable Adhoc earnings.
  • Overseeing the activities of the security patrol and standing officers.
  • Investigate incidents and/or customer complaints.
  • Review and input data within the Officer Management System (OMS) for accurate reporting.
  • Knowledgeable of the proper execution of assigned duties of the security officers.
  • Evaluate employee performance to gauge where skills are lacking.
  • Develop onboarding programs for new employees.
  • Train new officers in computer applications and other technology used on site.
  • Assist in training new officers on correct protocols and procedures within post orders.
  • Research new teaching methods.
  • Security education conferences and satisfactorily complete all required training as assigned and required.
  • Maintain records for training programs, including evaluations, employee participation and LMS records.
  • Tracks and analyzes learning curriculum effectiveness through various evaluation techniques, including the evaluation of individual performances.
  • Provides reports to management.
  • Understand pay rates for officers per site, on call and locations(s)
  • Input post orders and other pertinent information into the Officer Management System as needed/required.
  • Plans, assigns, and directs the work of security guards.
  • Supervise programs and processes to reduce and control loss of time and injuries.
  • Provides performance reviews, creates discipline reports.
  • Monitor vehicle use, tracking and maintenance.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Maintains a professional company and community reputation.
  • Interacts with clients, community members and employees professionally.
  • Interacts with local law enforcement agencies as required.
Knowledgeable of and adheres to all rules, regulations, policies, procedures, and orders
QUALIFICATIONS
  • High school diploma or GED.
  • At least 18 years of age.
  • At least one-year experience working in an office setting
Skill Requirements:
  • Prepare written statements and investigations logically, grammatically, and correctly.
  • Ability to coach, counsel, discipline, train, and manage relationships with security professionals.
  • Ability to supervise individuals with various types of personality traits.
  • Conduct oneself professionally and efficiently during interactions with people.
Mathematical Skills:
Basic math skills, add, subtract, multiply, and divide.
  • Language skills: Must speak, read, and write English. Other languages are a plus.
  • Computer skills: Mid to advanced level skills in creating written documents and reports within a computer application. Comfortable working with a smartphone or tablet application.
  • Ability to learn and operate the company Officer Management System (OMS).
