Job Description

Position Overview We are seeking a reliable and detail-oriented Administrative Coordinator to support daily operations in a fast-paced fire sprinkler company. This role is critical to keeping projects organized, supporting field crews, and maintaining compliance documentation. Key Responsibilities Manage incoming calls, emails, and customer communication Schedule inspections, service calls, and project work Prepare proposals, contracts, and job folders Track inspections (annual, quarterly, 5-year) per NFPA 25 requirements Maintain accurate records for compliance, reports, and deficiencies Assist with permitting and AHJ coordination Process invoices, timesheets, and job costing data Order materials and coordinate with suppliers Support project managers with documentation and logistics Qualifications 2+ years of administrative or office experience (construction or fire protection preferred) Strong organizational and multitasking skills Proficient in Microsoft Office (Excel, Word, Outlook) Ability to learn industry software (service tracking, scheduling, etc.) Clear communication and professional customer interaction Basic understanding of construction or fire sprinkler systems is a plus What We're Looking For Someone who can keep things moving without constant supervision Detail-oriented (missed inspections = big problems) Comfortable working with deadlines and shifting priorities Takes ownership and solves problems proactively Compensation & Benefits Competitive hourly pay based on experience Opportunities for growth within the company Stable, long-term position in a specialized trade Health Insurance after one year or open enrollment
