POSITION OVERVIEW
The Service Administrative Coordinator provides essential administrative support to the Service Administration department during a defined three‑month period. This onsite role, based in Union City, CA, will primarily support the Service Administration Coordinator and the Contracts Coordinator with maintaining contracted work orders. Key responsibilities include assisting with the creation, updating, and monitoring of work orders associated with active Mizuho contracts to ensure accuracy, compliance, and timely processing. In addition to contract‑related work order support, the Temporary Service Administration Assistant will assist in following up on outstanding service estimates and obtaining purchase orders from customers. This includes tracking estimate status, communicating with internal teams as needed, and ensuring that required purchase orders are received and recorded for service activities to proceed. Estimated time of position - 3 Month contract to hire. Essential Job Duties
- Interact with other entities across the organization; ensuring cross functional communication and workflow is positive, interactive, efficient, and effective.
- Assist the Service Administration Coordinator and Contracts Coordinator in creating, updating, and maintaining contracted work orders, ensuring accuracy, completeness, and alignment with current contract terms.
- Enter and verify work order information in FSL, following up with customers or internal teams as needed, and ensuring required information is obtained for timely processing.
- Run reports in FSL to identify open estimates
- Provide frequent and timely information to team members.
- Understand, follow, and support Mizuho OSI's internal Quality System policies, procedures and work instructions including but not limited to applicable external regulations (21 Code of Federal Regulations Part 820 Quality System Regulations and applicable International Standards).
Requirements:
- Knowledge of ServiceMax a plus.
- Advanced knowledge of Excel a plus.
- Strong analytical skills with attention to detail.
- Knowledge of medical device industry preferred.
- Strong written and verbal English communication skills are required.
- Ability to work with a professional and positive attitude to improve and embrace processes.
- Experience building strong working relationships both internally and externally, and quickly establishing trust and credibility.
- Ability to use computer applications such as Word, Excel, Outlook, and ERP/CRM software (i.e. SAP/SFDC/ServiceMax).
- Work in a team environment and promote teamwork cross-functionality.
Pay range:
$20-$25 an hour.
