This role is vital in ensuring smooth day-to-day business functions, from financial management to HR support.
Responsibilities:
Develop, manage, and improve company processes & procedures Handle payroll, invoicing, rent, and insurance tasks Oversee HR responsibilities and financial reporting Assist with employee training and onboarding Collaborate across teams to support company objectives Manage incoming and outgoing mail What We're Looking For 2+ years of administrative, operations, office management, or bookkeeping experience Experience with QuickBooks Online required Experience managing Accounts Payable, Accounts Receivable, and payroll Strong organizational skills with exceptional attention to detail Excellent verbal and written communication skills Ability to manage multiple priorities and deadlines in a fast-paced environment Proactive problem-solver who identifies issues before they become problems Positive attitude and willingness to take ownership of responsibilities Forward-thinking mindset with a focus on process improvement and efficiency Ability to work independently with minimal supervision Strong proficiency in Google Workspace (Gmail, Google Calendar, Sheets, Docs) Experience with employee onboarding, recruiting, or HR administration preferred Customer service experience preferred Experience in real estate, home staging, logistics, moving, or service-based businesses is a plus High level of integrity and discretion when handling financial and employee information Comfortable learning new technology and software systems Experience managing operational workflows, schedules, or logistics in a service-based business preferred. Operational Obligations:
Managing the current schedule in the Operations Tracker and Google Calendar to ensure smooth day to day operations Optimizing routing for movers and designers to minimize drive time Manage relationships with key operations vendors, tracking order statuses and ensuring warehouse/vehicles are stocked Run a safe, injury/accident-free workplace by establishing, following, and enforcing standards and procedures; complying with legal regulations Work closely with the warehouse manager and team to perform analysis of our inventory and ensure we are utilizing our inventory effectively, purchasing the correct equipment, maintaining solid inventory data Front-line communication with clients, receiving new job inquiries,providing information throughout the staging process and coordinating stage/de-stage dates Financial Obligations:
Manage staff levels, wages, hours Review and approve all operational invoices and ensure they are paid Manage Accounts Receivable and Account Payable Process payroll and employee contributions Manage contracts with workers comp, vehicle, health insurance and general liability insurance Track Inventory Purchases Invoicing, accounting, reconciliation (Quickbooks) Verify receipts and transactions for fraudulent activities Serve as the primary point of contact when there are customer issues related to equipment quality, customer service, or accidents and mishaps on-site. Providing top-line customer service to realtors, homeowners and investors looking for staging on our Google Voice platform, via website requests, and through Callrail inquiries. Your work with finances and bookkeeping will be monitored by our Operations Coordinator on a monthly basis. HR Obligations:
Recruit, select, assign and schedule employees Process and manage payroll Set up insurance for employees after 90 days Manage employee injuries, liaison with Workers Comp Schedule:
