Job Description

Administrative / Order Entry Coordinator Overview This role supports daily warehouse and sales operations through high‑volume order entry, dealer communication, and basic administrative functions. The ideal candidate is detail‑oriented, coachable, comfortable with repetitive tasks, and interested in building a long‑term career within the organization. Key Responsibilities Order Entry & Processing Handle heavy order entry with a high number of SKUs and customer accounts. Process will‑call orders where customers place orders, confirm pickup dates, and collect products directly from the warehouse. Process purchase orders for online orders, freight orders, and product backorders. Dealer Communication Communicate with dealers via phone, email, and online platforms regarding damages, returns, replacements, and order updates. Provide professional and timely responses to dealer inquiries. Delivery & Logistics Support Coordinate with the in‑house delivery driver who services Denver, Colorado Springs, and Northern Colorado on Mondays, Tuesdays, and Thursdays (and as needed on Wednesdays and Fridays). Invoicing Support Assist with end‑of‑day invoicing tasks: Match completed order copies from the warehouse with corresponding pink copies. Scan completed documentation and email to the corporate invoicing team. This process takes place after the warehouse closes at 3:00 PM and typically takes about 30 minutes. Front Desk & Office Support Answer incoming calls and transfer them to the appropriate staff member (no call screening). Perform basic office duties such as refilling copier paper and maintaining the 3‑part order system. Required Qualifications (Must Have) 1-2 years of administrative or front desk experience (retail-only backgrounds will not be considered). Strong attention to detail and organizational skills. Ability to accept direct feedback and demonstrate coachability. Comfortable performing repetitive work for an 8‑hour workday. Strong desire for a long‑term role within the organization. Proactive mindset — anticipates needs and offers assistance when others are under pressure. Ability to prioritize daily tasks based on business urgency and importance. Preferred Qualifications (Nice to Have) Previous order entry experience (not required). Pay and Benefits The pay range for this position is $24.00 - $24.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
