Position Responsible for assisting and supporting the Coordinator Post Secondary Learning including performing administrative, receptionist, accounting and organizational tasks as needed. Represent Littleton Public Schools in a positive, professional and informative manner. Keep privileged and sensitive information in strict confidence. Essential Duties Perform secretarial tasks including scheduling appointments and meetings answering phones, processing incoming and outgoing correspondence, greeting and directing visitors, maintaining records and files, coping and faxing, preparing and editing correspondence, distributing minutes of meetings, developing and maintaining databases, creating and submitting AEA's, ordering and delivering Concurrent Enrollment CE and Career and Technical Education CTE materials and equipment. Perform registration tasks for CE and CTE, including calling students/parents/guardians to support the registration process. Make school visits to meet with students to get them registered and follow-up with LPS families. Manage the collection of CE Agreement and Promissory Notes each semester. Utilize district/department databases, including retrieving and entering information in the Infinite Campus student database; that tracks CE and CTE status, demographics, assessment center, academic planners, CDIP and more in Infinite Campus; and maintain the program and staff information. Prepare purchase orders, check requests, requisitions, receipt purchase orders, bids, journal entries and procurement card purchases for CE and CTE, teachers, and facilitators using Business + computerized accounting system. Perform weekly/monthly financial tasks, including reconciling account balances, grants; researching and following-up on any discrepancies; compiling timesheets for payroll; maintaining financial data for year-end grant reporting; processing tuition payments to colleges for concurrent enrollment classes; billing districts at semester end for CTE classes and serve as account coordinator for procurement cards. Plan, schedule, and organize meetings for CE and CTE, staff, business/community members, and parents, including preparing rooms, ordering food, creating agendas and arranging for supplies. Make hotel, airfare, and transportation arrangements for CE and CTE, staff, student organizations, and guest speakers to attend conferences and workshops. Compile data for year-end grant reports; assist in the preparation of reports requested by the District, and Colorado Department of Education (CDE), collect and enter data for October 1 student report for the Colorado Department of Education (CDE) for CE and CTE programs. Process financial transactions for student CE courses for fall, spring and summer semesters. Collect and organize contracts (MOUs) with signatures and timelines for renewal. Assist in preparing Human Resources paperwork and maintain information on prospective applicants; creating and submitting AEA's. Provide assessment support (order materials, etc.). Assist in the grant process, including providing support to the grant process and submitting vouchers for reimbursement as well as barcoding material/equipment. Compile time certification for grant employees. Performance of all other duties as may be assigned by the Coordinator of Concurrent Enrollment and CTE or the Director of Learning & Teaching. Criminal background check required for hire. Experience Two to five years of experience in a general secretarial position. Experience in an educational setting Knowledge, Skills and Abilities Oral and written communication skills; English language skills. Interpersonal relations skills; Customer service and public relations skills; Ability to diffuse and manage volatile and stressful situations. Personal computer and keyboarding skills; Advanced computer hardware and software skills; Operating knowledge of and experience with Microsoft Office and Google. Operating knowledge of and experience with general office equipment, including telephones, copier, fax machine, etc. Knowledge of operating, installing, supporting and maintaining PCs and associated application software preferred at hire. Critical thinking and problem solving skills. Ability to maintain confidentiality in all aspects of the job.
