With multiple locations across several states and continued growth ahead, we're looking for an organized and dependable Administrative Coordinator to help support our headquarters team. About the Role Wonderlosity is seeking a dependable, organized, and detail-oriented Administrative Coordinator to support the daily administrative needs of our growing company. This part-time, on-site position serves as the administrative hub for a growing multi-location retail and entertainment company. The role plays an important part in keeping our office organized, our records up to date, and our team supported through a variety of administrative, clerical, and coordination responsibilities. From managing documents and invoices to coordinating schedules, maintaining an organized office environment, and supporting special projects, this position helps ensure the business runs smoothly behind the scenes. This is an excellent opportunity for someone who enjoys staying organized, managing details, and helping a fast-growing business operate efficiently. For the right candidate, there is potential for this role to expand into a full-time position over time. What You'll Do Create and print signs, labels, forms, brochures, and other business materials using Canva and office software Upload invoices, receipts, and supporting documents into company systems for processing Maintain organized digital and physical filing systems Assist with data entry, recordkeeping, and administrative reporting Manage incoming mail, packages, and office deliveries Monitor and maintain office supply inventory Make phone calls and send emails to vendors, service providers, and business partners Assist with scheduling, meeting coordination, and calendar management Support special projects and administrative initiatives as assigned Help maintain an organized, professional, and welcoming office environment, including shared workspaces, office supplies, and common areas Coordinate a variety of transaction-based and administrative tasks on behalf of company leadership Provide general administrative support to executives and department leaders What Success Looks Like Leadership can rely on accurate records, organized files, and timely follow-up on administrative tasks Invoices, receipts, and business documents are processed promptly and accurately The office is organized, professional, and welcoming for employees and visitors Projects move forward because details are tracked, communications are handled, and follow-up happens consistently Team members know they can count on you to help keep the business running smoothly behind the scenes Qualifications 1-3 years of administrative, office, customer service, or coordination experience preferred Strong organizational skills and exceptional attention to detail Comfortable using Google Workspace (Gmail, Docs, Sheets) and Canva Professional written and verbal communication skills Ability to prioritize tasks and manage multiple assignments simultaneously Strong follow-through and problem-solving skills Positive, team-oriented attitude and willingness to help where needed Ability to handle confidential information with professionalism and discretion Schedule Part-time, on-site position Monday-Friday 9:00 a.m. - 1:00 p.m. Opportunity to expand into a full-time role as the company grows Compensation Competitive hourly pay based on experience Opportunity for growth within a rapidly expanding company Employee discount on Wonderlosity brands and experiences Wonderlosity is an equal opportunity employer and welcomes applicants from diverse backgrounds and experiences.
