Administrative Assistant & Business Operations Coordinator Schedule:
Monday to Friday, 8:00 AM to 4:30 PM, with flexibility for occasional overtime as required

$21.00-$25.00 per hour Position Summary Affinity Grow, Connecticut's premier cannabis micro-cultivator, is seeking a highly organized, proactive, and personable Administrative Assistant & Business Operations Coordinator to support the day-to-day administrative, sales, marketing, and operational functions of our growing company. This role serves as a key support position across multiple departments, helping ensure business processes run efficiently, customer needs are met, and leadership has the information necessary to make informed decisions. The ideal candidate is detail-oriented, analytical, tech-savvy, comfortable communicating with customers and buyers, and eager to contribute to a fast-paced and rapidly growing organization. This position offers valuable exposure to sales operations, customer relationship management, marketing initiatives, inventory management, business analytics, and executive support, creating opportunities for professional growth as the company continues to expand. Key Responsibilities Administrative & Operational Support Provide administrative support to leadership and cross-functional teams Maintain organized digital and physical records, files, and documentation Coordinate meetings, prepare agendas, and assist with internal communications Manage office supplies, vendor communications, and administrative workflows Support special projects and company initiatives as assigned Assist with internal reporting, data entry, and process improvement initiatives Sales Operations & Customer Support Assist with customer account setup and maintenance Process, release, and track sales orders through SellStack, Microsoft Dynamics 365, and related systems Coordinate sales activities, customer credits, promotions, pop-up events, and account communications Assist with delivery scheduling and order fulfillment coordination Build and maintain orders for key customer accounts Support customer service inquiries and ensure timely communication with retail partners Maintain accurate customer, product, and pricing data within company systems Support outbound sales efforts through buyer follow-up, relationship management, and occasional sales calls Marketing & Brand Support Support promotional campaigns, product launches, and retail activations Coordinate communication between marketing, sales, and operations teams Required Qualifications Strong proficiency in Microsoft Office Suite, particularly Excel and Word Exceptional organizational skills and attention to detail Strong analytical and problem-solving abilities Excellent written and verbal communication skills Comfortable communicating professionally via phone, email, and in-person interactions Ability to manage multiple priorities and meet deadlines in a fast-paced environment Self-motivated with a proactive approach to problem solving High school diploma or equivalent required Must meet all legal and company-specific requirements to work in the cannabis industry Reliable transportation required Preferred Qualifications Experience with CRM, ERP, inventory management, or order management systems Experience with Microsoft Dynamics 365, SellStack, or similar commerce platforms Advanced Excel skills including formulas, pivot tables, reporting, and data analysis Experience working in a highly regulated industry such as cannabis, pharmaceuticals, manufacturing, food production, or alcohol Physical Requirements Ability to sit, stand, and work at a computer for extended periods Ability to occasionally lift and carry up to 25 pounds Ability to work a full-time schedule, including occasional overtime Ability to travel locally for occasional events, pop-ups, and dispensary visits Reporting Structure Reports directly to the Controller and works closely with Sales, Marketing, Accounting, Operations, and Executive Leadership.
