Job Description

Overview We are seeking a motivated, dependable and detail-oriented Administrative & Land Use Coordinator to join our team. The Administrative & Land Use Coordinator serves as a key member of the City administration team and is responsible for providing a wide range of customer service, administrative, land use, permitting, licensing, communications, and finance support functions. This position serves as the primary point of contact for residents, businesses, contractors, and visitors and plays an important role in the daily operations of City government. The position assists the City Manager and Finance Manager with office administration, land use coordination, financial processing, public communications, and community engagement activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Customer Service & Administrative Support Serve as the primary customer service representative for City Hall by answering phones, greeting visitors, responding to inquiries, and directing requests appropriately. Maintain professional interactions with residents, contractors, business owners, elected officials, and the general public. Prepare correspondence, reports, forms, agendas, public notices, and other administrative documents. Maintain official City records, files, databases, and related documentation. Assist the City Manager with special projects, research, reports, and daily administrative operations. Attend City Council meetings and other meetings, programs, and events as directed. Perform general office duties and other related responsibilities as assigned. Finance & Revenue Administration Receive and process payments for taxes, permits, licenses, utility bills, fees, and other City revenues. Assist the Finance Manager with routine financial and administrative functions. Assist with billing preparation, payment tracking, account maintenance, and related recordkeeping. Provide customer assistance regarding tax billing, payments, permits, licenses, and City services. Land Use, Permitting & Licensing Coordinate the administration of permits, licenses, inspections, and related land use activities. Process permit applications and maintain associated records and files. Assist contractors, businesses, and residents with permitting and licensing requirements. Maintain permit, zoning, licensing, and land use records in accordance with City policies and regulations. Coordinate with consultants, contractors, and regulatory agencies as necessary. Communications & Community Relations Maintain City communication platforms including, but not limited to, the City website, newsletters, social media accounts, and public notices. Assist with the preparation and distribution of internal and external communications. Develop promotional materials, community announcements, and public information resources. Assist with planning, organizing, and promoting City events, programs, and community activities. Environmental & Regulatory Reporting Assist with environmental reporting requirements, compliance tracking, and related documentation. Support regulatory submissions, and record maintenance as assigned.
MINIMUM QUALIFICATIONS
General knowledge of local government administration, customer service, permitting, licensing, land use administration, finance support, or related fields. Demonstrated proficiency in Microsoft Office applications, desktop publishing software, website administration, social media management, and standard office technology. Ability to create professional promotional materials, newsletters, flyers, presentations, public notices, and other communication and marketing materials. Ability to prepare accurate records, reports, correspondence, and public documents. Strong organizational skills with the ability to manage multiple projects and priorities. Excellent interpersonal and customer service skills. Ability to communicate effectively, both verbally and in writing. Ability to work independently while maintaining a high level of accuracy and professionalism. Municipal government experience is preferred but not required. Equivalent combinations of education, training, and experience will be considered.
Pay:
$46,000.00 per year
