POSITION SUMMARY
The Yacht Administrator Supervisor in addition to his/her supervisory duties, is expected to also conduct the role of Yacht Administrator for his/her assigned yachts. In addition to the Job Description of the Yacht Administrator the Yacht Administrator Supervisor is the supervisor of the Yacht Administrators who are part of the same fleet and assists the Management in implementing optimal work procedures and verifying that these are properly followed by the Yacht Administrators. The Yacht Administrator Supervisor has an essential role in controlling and streamlining the quality of the jobs performed by the Yacht Administrators of the supervised fleet. Work as a member of the Yacht Management Team, using Company procedures and best Yacht Management practices in close cooperation with the Manager Yacht Services, Yacht and Crew Administrators and Technical Superintendents.
KEY DUTIES & RESPONSIBILITIES
Supervision responsibility for the Yacht Administrators and Assistants. Planning and review of vacation planning for Yacht Administrators and Assistants; organize the backup work when other Yacht Administrators are on leave, sick or absent. Conduct periodic reviews of the duties of other Yacht Administrators. Ensure monthly/quarterly/yearly financial reports, including the annual operating budget and documents/reports are submitted to the client in a timely manner. Assist the Manager Yacht Services in presenting Yacht Management Services and Yacht's Budget to potential clients. Control the signatories on the yacht accounts and act as secondary signatory for each applicable yacht in management and sign checks/approve payments in accordance with Company policy. Conduct periodical meetings with assigned YAs and other Yacht Administrator Supervisors Train and familiarize the Yacht Administrators with financial departmental procedures and assist with the implementation of QuickBooks. Regular check ins with Manager of Yacht Services regarding any discrepancies and/or issues within the department. Be responsible for one's own assigned yachts with accounting, accounts payables, accounts receivables, payroll, financial reporting, reconciliation of bank and credit card statements, taxes, owners and captains' communication, crew mail shipping and general duties including labelling, filing, storage and correspondence.
OTHER RESPONSIBILITIES
Train the Yacht Administrator Assistant with all vessel accounts so that she/he may fill in upon any YA absence. Assist the Manager of the Department with development and review of policies and procedures Assist in Safety Management audits and reviews Assist the Manager Yacht Services with training plans for all Yacht Administrators Assist the Manager Yacht Services with conducting the periodic performance assessments
JOB ESSENTIAL FUNCTIONS
Essential Skills:
Fluency in English is a requirement. The ability to speak a second language is a plus. Computer literate; proficient with MS Word, Excel and Outlook. Proficiency with QuickBooks accounting software required. Ability to communicate professionally and effectively with yacht management team. Must be a team player. Ability to prioritize and multi-task is essential. Attention to detail and follow-up is essential. General knowledge of accounting principles required. Amicable personality, approachable with strong presentation skills.
Experience:
Working experience in the cruise or yachting industry preferred. Working experience in accounting or auditing
Qualifications:
Bachelor's degree or equivalent. Work experience maybe substituted for relevant educational experience.
WORK ENVIRONMENT AND PHYSICAL ABILITIES
Work Environment:
Work is conducted most often indoors in an air conditioned, illuminated office environment and periodically outdoors inspecting boats, meeting with yacht captains, and crew aboard vessels, at ports, and on floating barges. Local, national and international travel is occasionally required ranging from day to week-long trips. Ability and willingness to travel internationally to attend boat shows, visit yacht owners, captains and yachts and attend other yacht industry or company events as necessary. Utilization of standard office equipment is used in the working environment. Motor skills and senses needed to carry out duties include talking, listening, typing, writing, visual inspection of documents and spaces.
Physical Abilities:
Light lifting, pushing, walking, climbing ladders and stairs on boats and climbing into small spaces.
