Job Description

Monday- Friday, 8:00am- 5:00pm This Administrative position provides comprehensive administrative, operational, and reception support to ensure the efficient daily operations of the Center. The role requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment. Essential Duties and Responsibilities Provide front desk and reception support by covering reception duties during lunch breaks, outage and other coverage needs. Assist with lobby and reception operations during high-volume periods to ensure efficient workflow and excellent customer service. Coordinate, organize, and maintain records related to in-kind donations, including intake tracking and inventory management. Coordinate food orders and event logistics for meetings, trainings, staff gatherings, and special events as requested. Maintain a welcoming and professional office environment by decorating the center for holidays, seasonal events, and special occasions. Coordinate and manage holiday (Christmas) in-kind donation programs and other agency donation initiatives, including intake, organization, distribution, and tracking of donated items. Assist with planning, organizing, and preparing Children's Christmas Parties Maintain and update inventory tracking systems for office supplies, building supplies, and travel-related materials. Process and coordinate purchasing of approved office, operational, and personnel-related items in accordance with organizational procedures. Manage inventory and ordering office, kitchen, and janitorial supplies to ensure adequate stock. Verifying all inventory is stocked throughout the building daily. Coordinate travel arrangements, training registrations and renewals certification upon approval. Review and verify monthly staff travel documentation for accuracy, completeness, and compliance with organizational requirements. Maintain and regularly update the Furniture Inventory. Provide administrative support to the Human Resources Manager and assist with special projects and additional duties as assigned. Qualifications Level II Background check High school diploma or equivalent required Three (3) to five (5) years of administrative experience preferred. Previous experience in administrative support, office coordination, reception, or customer service preferred. Strong organizational, multitasking, and time management skills. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams. Ability to maintain confidentiality and exercise professionalism in all interactions. Strong attention to detail and ability to work independently while managing multiple priorities. Ability to lift, organize, and transport office or donation-related materials as needed.

Pay:
$37,500.00 - $40,000.00 per year
